Office Assistant
We are looking for a detail-oriented Office Assistant to join our team in Palatine, Illinois. As part of this contract position, you will play a key role in supporting daily office operations, ensuring smooth communication, and maintaining organized records. This role is ideal for candidates who thrive in a structured environment and enjoy multitasking. Responsibilities include: greeting visitors and managing receptionist duties to create a welcoming environment, organizing and scanning documents to maintain accurate and accessible records, handling inbound calls professionally, providing assistance and routing calls appropriately, performing a variety of clerical tasks including filing, data entry, and document preparation, ensuring office supplies are stocked and assisting in inventory management, maintaining confidentiality while handling sensitive information, supporting team members with administrative tasks to enhance overall efficiency, assisting in scheduling meetings and coordinating appointments as needed, preparing reports and correspondence in line with office requirements, and collaborating with colleagues to ensure seamless office operations.
Requirements include: experience with QuickBooks is preferred, prior experience in an office assistant or receptionist role is a plus but not required, strong organizational skills with attention to detail, proficiency in scanning and document management, ability to handle inbound calls professionally and efficiently, familiarity with basic clerical duties such as filing and data entry, excellent communication and interpersonal skills, competence in using office equipment and software, and ability to multitask and work effectively in a fast-paced environment.
