We are seeking a poised, highly organized, and proactive
Executive Assistant
to support our senior leadership team. This role is pivotal in ensuring operational efficiency, strategic alignment, and day-to-day continuity in a dynamic and fast-paced environment. The ideal candidate is an exceptional communicator, adept at managing complex schedules, anticipating needs, and maintaining the highest degree of discretion and professionalism.
Key Responsibilities Provide high-level administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements (domestic and international) Serve as a liaison between the executive team and internal/external stakeholders, handling communications with clarity, confidentiality, and diplomacy Prepare and edit correspondence, presentations, reports, and briefing documents with precision and attention to detail Coordinate board and leadership meetings, including scheduling, agenda development, and logistical planning Manage sensitive information with discretion and sound judgment Monitor and prioritize email communications; draft responses where appropriate Support special projects and initiatives, often with limited oversight, requiring a high degree of initiative and independence Oversee and manage expense reporting, reimbursements, and budget tracking for executives Build and maintain strong working relationships across departments and with external partners
Qualifications & Experience Minimum of 5–7 years of experience supporting C-suite or senior executives in a fast-paced, high-performance environment Bachelor’s degree preferred; advanced degree or professional certification (e.g., CAP, PMP) a plus Exceptional organizational skills with the ability to manage competing priorities and tight deadlines Impeccable written and verbal communication skills Discretion and sound judgment in handling confidential and sensitive information Strong proficiency in Microsoft Office Suite, Google Workspace, and modern collaboration tools (e.g., Slack, Zoom, Asana) Demonstrated ability to work both independently and as part of a team High emotional intelligence, professionalism, and a service-oriented mindset
