Executive Assistant to Chief Executive Officer

Our client is looking for an executive assistant to support the chief executive officer and other executives. This person will support executives through the day-to-day including calendaring, travel planning and logistics, and working with a wider team to facilitate coordination and logistics on behalf of their executive.

Responsibilities

  • Manage all day-to-day administrative responsibilities for 1-2 executives
  • This includes advanced management in the Google suite, including calendar, email, drive, slides, and sheets
  • Booking regular travel and expense management
  • Keeping up with emails, and actioning off executive inboxes
  • Meeting preparation, note taking, and follow-up
  • Participate in strategic organizational activities, managing end-to-end external executive events, managing senior leadership agendas, and interacting with key external partners.
  • Lightweight support for VP’s reporting into assigned C-level executives for ad hoc requests, such as team offsite planning, & one-off travel requirements.
  • Support other duties and special projects as assigned.

Requirements

  • 5+ years of previous experience supporting C-level executives
  • Previous experience in a high growth environment required
  • Strong work ethic, proactive, exhibits positivity, professionalism, confidentiality and good judgment
  • Incredibly organized and resourceful; able to juggle and multi-task, with an acute attention to detail and follow through
  • Confidentiality and experience with access to confidential matters and information
  • Ability to navigate and thrive in ambiguity
  • Advanced presentation skills (Google Docs, Keynote, Excel) and grasp of current social networking systems
  • Ability to remain calm and poised under pressure
