The Del Norte County Animal Control is seeking qualified candidates for the position of Administrative Secretary I/II. This position is classified as Full-time.

This position is an experienced secretary with the ability to perform and supervise a broad variety of departmental related administrative tasks and personnel without direct supervision except as new or unusual circumstances require. To perform advanced and confidential secretarial and routine administrative duties; to participate in operational and administrative functions within department and or operational units; and to supervise support staff in a lead person capacity. This work consists of administrative and highly complex secretarial and clerical duties. Detailed Work Activities

Essential job duties may include any of the following tasks, knowledge, skills and other characteristics. Incumbent(s) may not be required to perform all duties listed, and may be required to perform additional, position-specific tasks.

Performs advanced and confidential secretarial and operational administrative tasks in support of departmental functions. May transcribe dictation of letters, reports, contracts, deeds and memos for administrative and/or department staff. Maintains filing system and control documents including records of staff assignments, projects, agreements and departmental correspondence and advises staff of pending agreements, expiration/cancellation deadlines. Gathers and assembles information for use by supervisors, extracting information from various sources including staff, files and documents. Compiles statistical and business information for the preparation of fiscal, status, routine or special reports or projects. Maintains departmental attendance records and employees files, which may include preparation of payroll records. Maintains calendar and determines appointment schedule for administrative and/or professional staff. Arranges travel and necessary voucher/claim transmittals for department staff. Participates in the supervision of administrative support staff including input in hiring, discipline, evaluations or employees and training of new departmental support staff. Acts as informational source to departmental staff and general public regarding activities and procedures. Answers, screens, prioritizes and routes incoming telephone calls, correspondence and work assignments. May maintain and process department billing records, service statements, permits, applications and/or other related documents. Performs related duties as required or assigned. Minimum Qualifications Required:

Education: Graduation from high school supplemented with college course work in business related field.

Experience: Three (3) years experience performing responsible secretarial or clerical duties that includes one year of routine administrative experience.

To obtain a II level, a minimum of two (2) years experience as an Administrative Secretary I is required.

Knowledge, Skills and Abilities Knowledge Of:

Appropriate grammar, spelling, punctuation and composition at a level used in complex correspondence and editing. Specialized office policies, procedures and practices, including proficiency in computer applications for word processing and accounting. Ability to:

Effectively respond to the support needs of an executive and/or manage and assume responsibility for managing on the best possible resolution to office related problems. Independently develop and set up clerical procedures to maintain an effective level of operation in an office or department. Operate various business office machines and instruct others in the use of the equipment. Prioritize work of others to meet timely deadlines and maintain effective office working conditions. Establish and maintain effective working relationships with fellow employees, other departments, outside agencies and the general public. Operate a keyboard and like equipment is required.

Selection Process:

Condition of Employment:

ELIGIBILITY:

Regular Permanent Full-Time Employees : Eligible for a comprehensive range of benefits

Regular Permanent Part-Time Employees : Eligible for select benefits on a prorated basis, depending on hours worked

Temporary Employees : Not eligible for company benefits Paid annual leave: Vacation: 1-5 years of continuous service: 15 working days per year; 6-10 years of continuous service: 20 working days per year; 11-15 years of continuous service: 25 working days per year; 16 years or higher of continuous service: 30 working days per year. Note - Newly hired employees shall be entitled to use their accrued vacation leave subject to totally accrued hours available.
