Description

The Senior Administrative Coordinator provides administrative and operational support across the Division of Student Success, including the Academic and Career Advising Center (ACAC), the Student Academic Success Center (SASC), and the Integrated Coaching and Support Services (ICSS). Reporting to the Division of Student Success Office Manager, this position oversees general office operations, manages front-desk services, and performs a wide variety of clerical and administrative tasks.

Working closely with the Division of Student Success Office Manager, the Senior Administrative Coordinator focuses on the day-to-day operations of the division, ensuring consistent and high-quality service delivery. This role also includes the supervision of front-desk student staff in collaboration with the Division of Student Success Office Manager.

Responsibilities

Provide comprehensive administrative support to ACAC, SASC, and ICSS, serving as a primary point of contact for visitors, ensuring a welcoming, professional, and inclusive environment. Duties include answering phones, maintaining calendars, processing work orders, ordering supplies, arranging travel, and compiling data for reports. Coordinate divisional events such as orientation, open house, accepted student days, and other internal events. Manage divisional social media accounts and update the UNE website. Compile data for regular and special reports using manual and computerized records Oversee reception desk operations, including staffing, coverage, and a professional, customer-focused experience for students, faculty, staff, and guests. Supervise, schedule, and train student assistants in collaboration with the Division of Student Success Office Manager. Address inquiries, provide accurate information, and direct individuals to appropriate offices or staff members. Partner with the Division of Student Success Office Manager on larger initiatives, operational problem-solving, and student staff development. Assist with budget tasks, including processing purchase orders, reconciling expenses, and upholding budget policies. Maintain and update divisional systems and platforms (e.g., Banner, Navigate, Handshake, TutorTrac). Troubleshoot and support divisional technology platforms, creating training and resource materials as needed. Represent the Division of Student Success with professionalism and courtesy, fostering a culture of respect, inclusion, and approachability. Perform additional responsibilities as assigned by divisional leadership. Qualifications

Associate's degree in business or another appropriate discipline, plus three to four years of relevant clerical and administrative experience, or a combination of education and experience from which comparable knowledge and skills have been acquired.

Broad base of general clerical and office management knowledge and skills. Excellent administrative and organizational skills. Experience in organizing and maintaining a moderately complex filing and records systems. Previous experience with computerized information systems. Good reading, writing, and math skills. Some bookkeeping/accounting training or experience is desirable. Good basic supervisory skills, with some previous supervisory experience desirable. Ability to deal effectively with a wide variety of individuals inside and outside of the University system.
