Job Description Description: The Operations Specialist plays a key role in managing and executing the daily flow of international shipments, including import and export activities across air and ocean freight. This position is responsible for preparing and reviewing shipment documentation, arranging bookings with carriers and trucking partners, and maintaining proactive track-and-trace visibility to ensure on-time delivery. The Operations Specialist also handles customer communications, billing functions, and provides support in identifying service opportunities to strengthen existing customer relationships. This role requires detailed knowledge of freight forwarding processes, compliance requirements, and system proficiency (CargoWise), and reports directly to the Operations Manager.
JOB DUTIES: · Coordinate import and export shipments via air and ocean in compliance with company procedures and international regulations. · Prepare and process shipping documents, including HAWBs, MAWBs, manifests, shipping instructions, hazardous cargo declarations, and certificates of origin. · Arrange bookings and pickups with contracted airlines, ocean carriers, drayage providers, terminals, and warehouse partners. · Maintain up-to-date knowledge of import/export regulations and documentation requirements for major global markets. · Monitor and update shipment status daily using CargoWise, leveraging advanced features for efficiency and accuracy. · Provide ongoing communication with customers, including training on CargoWise reporting tools and delivering customized shipment reports. · Issue invoices to customers, overseas agents, and vendors within established timeframes. · Respond promptly and independently to inquiries from customers, overseas offices, and global agents. · Collaborate with sales and management to identify service expansion opportunities with existing accounts. · Work closely with internal departments and global SPARX offices, including customs brokerage and pricing teams, to ensure seamless service delivery. · Maintain and update Standard Operating Procedures (SOPs) for assigned customers. · Perform additional duties and projects as directed by management. Requirements: · High school diploma or equivalent required; associate or bachelor’s degree in Business, Supply Chain, or related field is a plus. · 5–7 years of freight forwarding experience (air/ocean, import/export). · In-depth knowledge of international logistics and global transportation practices. · Proficiency in Microsoft Office applications and shipment portals (INTTRA, GT Nexus, etc.). · Strong customer service skills with excellent written and verbal communication. · Highly organized, detail-oriented, and able to work effectively in a fast-paced environment. · Dependable transportation and reliable attendance.
