We are looking for an experienced Administrative Assistant to join our team in Midland, Texas. In this long-term contract position, you will play a critical role in managing equipment allocation, inventory updates, and sales-related tasks. This opportunity is ideal for someone with strong organizational skills and proficiency in Microsoft Office applications.
Responsibilities:
• Coordinate the allocation of equipment for installations and prepare shipping documentation.
• Update inventory records in spreadsheets or Microsoft Lists, ensuring accuracy for well names, dates, and locations.
• Generate and process transfer orders to facilitate equipment movement.
• Validate and receive transfer orders in the system, ensuring proper documentation.
• Organize and oversee cable labor activities for sales or rentals.
• Monitor and follow up on cable inventory and associated reports.
• Create sales orders for teardowns and inventory consumption based on field tickets.
• Review and validate rental invoices from external providers.
• Perform additional tasks related to inventory management and inside sales operations.
• Maintain effective communication with team members and external stakeholders to ensure smooth processes.• Proficiency in Microsoft Excel, including formulas and VBA.
• Experience working with Microsoft Access queries.
• Strong communication skills for handling inbound and outbound calls.
• Demonstrated ability in data entry and administrative office tasks.
• Familiarity with Microsoft Outlook and calendar management.
• Attention to detail and organizational skills to manage inventory updates.
• Ability to multitask and prioritize responsibilities effectively.
• Previous experience in inventory or sales-related roles is a plus.
