Position Description Advertised Job Summary The administrative assistant will serve as the initial contact with staff, suppliers, and visitors. The candidate will provide support for the front desk reception area operations, and provide clerical and administrative support for the daily operation of the office and assigned office personnel. Qualifications A high school diploma or GED . Requires 1 or more years of experience in administrative and/or office support. Strong organizational skills are required, along with the ability to multitask. Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.). Good customer service skills, verbal, written, and interpersonal communication skills, and the ability to work well with others. Job Duties Job Duty Provide essential administrative and clerical support to assigned office personnel by handling a wide range of clerical and organizational tasks. Ensure the effectiveness of the daily operations in the area, which include performing administrative duties such as managing calendars, scheduling appointments, providing customer service, copying, faxing, drafting, editing, and preparing documents and reports. Additionally, responsibilities include managing emails and other forms of communication and correspondence, as well as overseeing departmental mail and shipping. Essential Function Yes Percentage of Time 35 Job Duty Keep track of office equipment, air humidifiers, and supply inventory. Maintain and order the office, kitchen, and water supplies. Coordinate maintenance and repairs with facilities. Submit custodial and telephone requests. Maintain the employee phone list and ensure the IFS directory display is up to date. Essential Function Yes Percentage of Time 20 Job Duty Provide support for front desk reception area operations to include answering, screening, forwarding, and directing the main phone line, including taking accurate messages and directing calls. Greet and direct all visitors and students to the appropriate person and/or office, or notify the appropriate person. Serve as the initial contact with staff, suppliers, and visitors. Keep the visitor logbook, issue visitor badges, and provide visitors with a parking pass. Keep track of the all-campus parking pass. Maintain office security by following safety procedures and controlling access via the front desk. Assist the Operations Manager in maintaining key records and inventory, and order additional keys as necessary.
