We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support within a large, complex organization. The ideal candidate will be adept at managing intricate schedules, coordinating meetings, and facilitating seamless communication in a fast-paced environment. This role requires a strong understanding of organizational dynamics, exceptional communication skills, and the ability to handle sensitive information with discretion.

  • This is a 12-week assignment.
  • The role involves complex schedule management, supporting an executive with responsibilities across two hospital locations and community work (serving on 4 boards, community events, etc.).
  • Shift: Monday - Friday, 8:00 AM - 5:00 PM

Responsibilities:

  • Provide high-level administrative support, including complex scheduling and calendar management for executives.
  • Coordinate multiple and difficult calendars, and arrange meetings, including reserving rooms and preparing agendas.
  • Manage meeting logistics, including room reservations, agenda preparation, and material distribution.
  • Prepare and edit correspondence, reports, and presentations.
  • Facilitate communication between executives and internal/external stakeholders.
  • Handle confidential information with utmost discretion.
  • Apply a thorough understanding of the organization and its functional policies and processes.

Qualifications:

  • 5-7+ years of administrative assistant experience supporting at the manager/director level, or related experience. We will consider candidates with less experience to fill quickly.
  • High School Diploma, GED, or related experience required; BA/BS preferred.
  • Substantial understanding of the job, and applies knowledge and skills to complete a wide range of tasks.
  • Strong writing skills to create detailed correspondence.
  • Basic to intermediate knowledge of Microsoft Office Suite applications: Outlook, Word, and PowerPoint.
  • Working knowledge of email and office equipment (fax, phone, copier, etc.).
  • Ability to learn and apply a thorough understanding of a large, complex organization and its customers.
  • Excellent organizational, communication, and time-management skills.
