Responsibilities

  • Provide administrative support to executives, department heads, and production staff, including organizing meetings and special events, and distributing information.
  • Support office operations: ordering supplies, stocking office supplies, maintaining office cleanliness, managing service vendors, running errands using a pool or personal vehicle, and distributing mail.
  • Answer main office phone lines and greet visitors in a professional and courteous manner.
  • Manage bookings for the conference room and pool vehicles.
  • Coordinate pool vehicle maintenance scheduling, including driving vehicles to/from service appointments.
  • Handle incoming and outgoing mail via USPS and FedEx.
  • Prepare conference rooms for meetings, including arranging refreshments and meals.
  • Perform other administrative duties as assigned.
Qualifications
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Excellent interpersonal and customer service skills.
  • Strong written and verbal communication abilities.
  • Ability to interpret, analyze, and present data.
  • Effective time management and multitasking skills.
  • Strong attention to detail, organization, and quality monitoring.
  • Prior experience with a civil engineering firm is desired, though not mandatory.
  • Experience with events planning is preferred.
  • Must be legally authorized to work in the United States.
  • Must complete a pre-employment screening; ICE is a drug-free workplace.
Education and Experience Requirements
  • High school diploma required, associate or bachelor’s degree in business a plus.
  • 1-2 years of relevant administrative experience in a professional environment.
Physical Demands

While working in the office, this position predominantly involves up to 8 hours per day at a computer workstation, with occasional standing and walking. The employee may occasionally lift lightweight office supplies and materials, typically not exceeding 20 pounds. The office environment is indoors, characterized by controlled temperatures and minimal exposure to adverse conditions. Hand and eye coordination is needed for computer data entry.

Expected Hours of Work

This position is full-time (40 hours per week). Office hours are from 8:00 a.m. to 5:00 p.m., Monday through Friday, allowing one unpaid hour for lunch each day. While overtime is generally not anticipated, occasional projects or deadlines may necessitate additional hours, compensated according to company policy. Flexible schedules may be available with prior approval from the immediate supervisor. Work schedules may vary based on project demands. This is an in-office, on-site position.
