Job Summary:

The Administrative Assistant at ATTUF GROUP provides critical support to the Operations Coordinator and broader administrative team. This role ensures efficient day-to-day office operations by performing a variety of clerical, organizational, and customer service tasks. The ideal candidate is detail-oriented, highly organized, professional, and able to thrive in a fast-paced environment.



Key Responsibilities:

  • Provide administrative support to the Operations Coordinator and other team members as needed.
  • Answer and route incoming calls, emails, and correspondence in a professional and timely manner.
  • Schedule meetings, appointments, and manage calendars for office staff.
  • Maintain and organize physical and digital filing systems, including confidential records.
  • Assist with data entry, document preparation, and internal reporting.
  • Order and track office supplies and ensure the work environment is clean and well-maintained.
  • Support onboarding efforts by preparing welcome packets and scheduling trainings for new hires.
  • Prepare meeting agendas, take meeting minutes, and distribute follow-up materials.
  • Assist with coordinating events, training sessions, or agency-wide communications.
  • Liaise with vendors, service providers, and building management when necessary.
  • Monitor compliance documentation to ensure alignment with internal protocols and state requirements.
  • Assist with invoice tracking, room and board logs, and other operational documentation.
  • Perform other administrative duties as assigned by the Operations Coordinator.



Qualifications:

  • High School Diploma or GED required; Associates degree or equivalent preferred.
  • Minimum of 12 years administrative or office support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management abilities.
  • Discretion and ability to handle confidential information.
  • Ability to multi-task, prioritize work, and meet deadlines.
  • Professional demeanor and customer-service oriented.



Preferred Experience:

  • Experience working in healthcare, human services, or a Medicaid-funded program is a plus.
  • Familiarity with HIPAA compliance and file management.
  • Bilingual (English/Spanish) preferred but not required.



Work Environment & Schedule:

  • Standard office setting with occasional remote work as approved.
  • MondayFriday, 8:00 AM5:00 PM or as directed by the Operations Coordinator.
  • Occasional flexibility required based on agency needs.
