We’re looking for an Administrative Assistant to join our collaborative team and work closely with our attorneys, office manager, and clients. What You’ll Do

As our Administrative Assistant, you’ll be the hub of our office and a key point of contact for clients, staff, and external partners. Your responsibilities will include:

  • Greeting and assisting clients, visitors, and callers with professionalism and care
  • Serving as a point of contact for attorneys, staff, opposing counsel, and court personnel
  • Managing and organizing electronic and physical files, ensuring accuracy and confidentiality
  • Drafting and proofreading correspondence, retainers, and forms
  • Assisting with scheduling, calendaring deadlines, and coordinating meetings
  • Supporting billing and collections processes using QuickBooks and Clio
  • Performing data entry and document management with accuracy and attention to detail
  • Office operations; answering phones, ordering supplies, mail services, and maintaining organized common areas
  • Providing flexible support for attorneys and paralegals as needed
  • Assisting with marketing efforts, including newsletters, social media, and networking events
  • Create, manage, import and export excel spreadsheets and database reports
  • Ability to receive tasks and delegation from multiple sources

What We’re Looking For

We are seeking a reliable, detail-oriented Administrative Assistant who thrives in a fast-paced environment and enjoys interacting with people. The ideal candidate is highly organized, adaptable, and has excellent communication and customer service skills.

  • Prior administrative or office support experience (law firm or professional services preferred)
  • Strong customer service orientation with excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook, Teams)
  • Experience with Clio, QuickBooks Online, or similar practice management/accounting software a plus
  • Exceptional attention to detail, time management, and organizational skills
  • Ability to multitask, prioritize, and remain adaptable in a dynamic environment
  • Professional demeanor and ability to maintain confidentiality
  • Capable develop processes and follow instructions

Qualifications

We’re looking for someone who is:

  • 1-2 years of administrative experience (3–5 years or legal experience strongly preferred)
  • Comfort working with the public, court personnel, and attorneys
  • Ability to coordinate with clients and respond to appointment requests promptly
  • Familiarity with the litigation process and ability to meet tight deadlines
  • Abachelor’s degree is recommended but not required. Equivalent education and experience will be considered.

Intended Schedule

8:30-5:00pm. The ideal candidate may be expected to come in early or stay late (flex scheduling) if due-dates/urgencies, customer service or networking events require it.
