Horizons for Homeless Children is a Boston-based non-profit dedicated to improving the lives of young children experiencing homelessness in Massachusetts. We help their families succeed by providing high-quality early education, opportunities for play, and comprehensive family support services. Summary of Position:

We are seeking a personable, enthusiastic, and highly organized and detail oriented

Executive Assistant with established skills across all Microsoft office platforms, PowerPoint and Canva . The person in this role will perform a mixture of administrative duties, high-level executive assistant work for the Chief Executive Officer (CEO) and members of the Executive Leadership team. This individual also interacts with Horizons' Board of Directors. The

Executive Assistant

will create a positive, friendly impression for all internal and external people. The ideal candidate will be adaptable to all personality types, and flexible in the face of unexpected changes. Candidates must be able to communicate effectively with excellent writing skills.

Responsibilities:

Administrative: Support the CEO and Executive team with administrative and clerical tasks, using attention to detail, task and time management skills and creative problem-solving capability. Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Makes sure the CEO is given background material for all meetings scheduled with visitors. Preserves CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; summarizing reports and initiating follow up and follow through. Support all Scheduling, communications and record keeping for the Board of Directors, including meeting minutes and assistance with presentation development. Schedule, prepare and assist with meetings and professional development days. Manage conference room reservations and the Horizons agency calendar. Collaborate with all members of the Executive Team for administrative support including expense reporting and some calendar management. Maintain excellent customer service and a friendly, positive attitude at all times. Provide program support at development events and assist with special projects as assigned. Assist Administrative team (Executives, Finance, HR etc.) with general duties as needed. Partner with Policy and Advocacy Manager as directed. Office Maintenance Duties:

Monitor and maintain office supply inventory. Maintain office files and records including organizational charts, staff lists, and general information. Other duties/projects may be assigned as needed. Workspace

This is a 40-hour-a-week, full-time position. This position requires 5 days onsite. The work you will perform is largely sedentary, taking place at a desk in a cubicle, in an office working alongside others. There is a large staff room with indoor and outdoor space for breaks as well as a designated quiet room. Our beautiful office space is located: Edgerley Family Horizons Center at 1785 Columbus Ave, Roxbury, MA.

This position requires the employee to comply with all applicable federal, state, local and company policy concerning immunizations, employment physical/screening, and Background record check.

Starting salary range, compensation, and benefits

$65,000 - $70,000 is the starting salary range for this admin role. Your starting salary will fall within that range depending on your competencies, experience, and skillset.

Your total compensation package includes the following benefits:

Health coverage options designed to be as comprehensive and affordable for you as possible, with Horizons covering between 70-75% of premiums (a value that ranges from an additional $10,000 -30,000 per year based on your enrollment choices). While you have a choice between an HMO and PPO plan for medical coverage, most employees pay $99 for individual, $199 for 2-person, or $314 for family coverage per biweekly paycheck and never pay more than $300 for individual or $600 for 2-person/family toward deductibles. Qualifications:

Education and Experience

Bachelor's Degree preferred Minimum of 5-8 years of Executive support experience Knowledge, Skills, and Abilities

Well established track record and deep skills set as it relates to the use of technology platforms including Microsoft Office suite and MS365 products as well as PowerPoint and Canva Demonstrated success in organizational skills, prioritization, and project management. Strong attention to detail and able to update lists, calendars and written material with high degree of accuracy. Ability to communicate complex concepts in clear and easy-to-understand written and verbal communication. Ensure security, confidentiality of executive-level information, and integrity of data.
