We are seeking a dynamic and highly motivated Senior Executive Assistant/Chief of Staff for a direct hire opportunity in Austin, TX. If you're a results-driven, no-nonsense senior-level executive assistant with strong project management capabilities, we'd love to connect with you.

This is a 100% onsite position.

Responsibilities

Project Leadership & Strategic Execution

Lead high-priority initiatives and strategic projects on behalf of executive leadership, ensuring seamless delivery through comprehensive planning, resource allocation, stakeholder coordination, and end-to-end project management from concept to completion.

Executive Calendar & Productivity Optimization

Orchestrate complex scheduling for senior leadership, collaborating with internal teams and external partners to maximize executive effectiveness. Proactively curate calendar priorities, streamline meeting structures, and implement systems that enhance overall productivity and strategic focus.

Comprehensive Administrative Support

Provide full-spectrum executive support including complex travel coordination, expense management, hospitality services, guest relations, and strategic email management to ensure seamless operations and timely response to all communications.

Event Coordination & Logistics

Design and execute various corporate events ranging from team gatherings and off-site retreats to professional development sessions and company celebrations, managing all logistical elements and stakeholder requirements.

Meeting Facilitation & Follow-Through

Capture detailed meeting documentation, synthesize key decisions and action items, and drive accountability through systematic follow-up processes to ensure consistent execution of strategic initiatives.

Strategic Advisory & Business Intelligence

Provide analytical insights and strategic counsel across diverse business challenges, leveraging research and industry benchmarking to support informed decision-making at the executive level.

Cross-Functional Communication & Alignment

Bridge communication between executive leadership and operational teams, ensuring organizational alignment with strategic objectives and fostering collaborative relationships across all departments.

Executive Communications & Documentation

Develop and refine strategic presentations, reports, and business documents for both internal leadership and external stakeholder engagements, maintaining consistency in messaging and professional standards.

Executive Representation & Stakeholder Relations

Act as executive proxy in meetings and strategic discussions, maintaining professional relationships with key stakeholders and ensuring continuity of communication when direct executive presence is not feasible.

Research & Strategic Analysis

Conduct comprehensive market research, competitive analysis, and strategic assessments to provide data-driven insights that inform executive decision-making and organizational strategy.

Team Leadership & Development

Direct and mentor a team of Executive Administrators supporting the broader leadership team, fostering professional growth and ensuring consistent service delivery across executive functions.

Cultural Leadership & Values Integration

Champion organizational values through daily interactions and work practices, modeling excellence and integrity while contributing to positive company culture and team dynamics.

Qualifications

Bachelor's degree in Business, Management, or a related field; an MBA or similar advanced degree is icing on the cake. Minimum of 3+ years in project management Minimum of 3+ years providing executive level support, to include C-Level Executives or Senior Management Exceptional organizational, analytical, and strategic planning skills. strong leadership qualities and the ability to manage cross-functional teams. Excellent communication skills, both written and verbal, with the ability to effectively convey complex ideas. Highly adaptable, with the ability to thrive in a fast-paced and dynamic environment. Exceptionally strong work ethic: nights and weekends shouldn't scare you (it's not every night and not every weekend, but if the job needs done, we need to know we can count on you to hit a deadline) Discretion and confidentiality in handling sensitive information. Proven ability to work independently and make sound judgments on a day-to-day basis regarding assigned and ad hoc duties with very limited or absence of direction. You will be asked to participate in culture-related meetings, activities, and events. Preferred

Deep understanding of the tech industry, market trends, and business operations. creative or marketing project management and/or event management

Skills

Extremely proficient in Microsoft Excel, Word, PowerPoint, and Outlook; willingness to learn and work in Paycor, Lattice, Evernote, Mac OS (including Keynote) and Salesforce
