Executive Administrative Assistant The Executive Administrative Assistant provides high-level administrative support to senior executives, ensuring smooth day-to-day operations and effective communication across the organization. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. This is a Contract opportunity located near Rosemont, IL.

Key Responsibilities
  • Manage calendars, schedule meetings, and coordinate domestic and international travel arrangements.
  • Prepare executive correspondence, reports, presentations, and meeting materials.
  • Screen calls, route messages, and handle confidential communications.
  • Maintain filing systems and ensure data accuracy and security.
  • Order and stock office supplies, manage vendor relationships, and liaise with building management.
  • Coordinate catering and logistics for internal and external meetings and events.
  • Handle mail distribution, invoice processing, and expense report reconciliation.
  • Maintain a tidy and well-stocked break room and kitchen.
  • Assist with project development, tracking deadlines, and ensuring accountability.
  • Create templates and tools to support executive initiatives.
  • Support cross-functional teams with administrative tasks such as printing, copying, and file adjustments.
  • Serve as a point of contact for internal and external stakeholders.
  • Foster a welcoming office environment and support employee engagement initiatives.
  • Participate in culture committees and represent the executive office in organizational activities.

Qualifications:
  • Proven experience as an Executive Assistant or Senior Administrative Assistant (5–10 years preferred).
  • Proficiency in Microsoft Office Suite (Word, Excel with VLOOKUPs and Pivot Tables, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks, take initiative, and work independently.
  • Experience in finance, property management, or manufacturing environments is a plus.
  • Bilingual in Spanish preferred; Polish or Ukrainian is a bonus
Job Details:

  • 100% onsite
  • Pay is $35-$45 an hour, depending on experience

Pay Details: $35.00 to $45.00 per hour
