Overview
Fast-growing AI platform that recently rocketed to unicorn status ($1.5B valuation!) is looking for an Executive Assistant to support their CTO/Co-Founder. This is an exciting opportunity to join an energetic team that has scaled from 20 to 150 people in just 10 months after securing major Series C funding. In this high-impact role, you’ll optimize the CTO’s time through strategic calendar management, meeting preparation, travel coordination, and serving as a crucial team liaison. This is an in-office role based in downtown SF. 110-140K DOE + equity, fully covered benefits, 401k, flexible PTO and meals provided.
Responsibilities
Provide comprehensive support to the CTO/Co-Founder.
Expertly manage complex calendars, coordinating schedules, and ensuring priorities are optimized.
Act as a gatekeeper to streamline the executive’s time and keep focus on high-impact initiatives.
Book travel and trip logistics. Provide detailed itineraries and travel documentation.
Prepare the Executive for meetings. Coordinate with team members, update agendas, gather materials, and provide meeting support by tracking follow-ups and ensuring action items are completed on time.
Serve as a liaison between the executive, leadership, and internal teams to facilitate communication.
Work cross-functionally to keep workflows organized and ensure deadlines are met.
Provide light personal support as needed.
Qualifications
3+ years of experience as an Executive Assistant, ideally supporting C-level or senior leadership in a fast-paced, startup environment.
Highly responsive, dependable, and consistent, keeping projects and priorities moving forward.
Thrives in a fast-paced, high-growth environment where priorities shift quickly.
Strong verbal and written communication skills.
Proactive, resourceful, and solutions-oriented, with the ability to anticipate needs and address challenges before they arise.
High EQ and able to build strong relationships and adapt communication styles across teams and stakeholders.
Driven and growth-oriented, seeking opportunities to improve processes and enhance efficiency.
Maintains strict confidentiality and demonstrates professionalism in handling sensitive information.
Embraces a “no job is too small” mindset and stays flexible in supporting both executive and operational needs.
