Responsibilities:
• Answer and direct incoming calls using a multi-line phone system with professionalism and courtesy.
• Greet and assist clients and visitors, ensuring they feel welcomed and supported.
• Schedule and manage appointments, including sending reminders and rescheduling as needed.
• Process payments and maintain accurate client information in the system.
• Assist with evening closing procedures to ensure the office is secure and organized.
• Provide backup support for various office tasks and general operations.
• Organize and maintain files to ensure easy access to important documents.
• Coordinate and respond to email correspondence promptly and professionally.
• Proficiency in handling multi-line phone systems and managing high call volumes.• Demonstrated excellence in customer service and interpersonal communication.
• Strong data entry skills with attention to detail and accuracy.
• Ability to manage email correspondence effectively and professionally.
• Familiarity with Microsoft Office tools, including Excel, Outlook, and Word.
• Skilled in scheduling appointments and managing calendars efficiently.
• Strong organizational skills with the ability to prioritize tasks effectively.
