Assistant to the Vice President, ASPIRE

The Assistant to the Vice President of ASPIRE (Advancing Strategies, Partnerships, Institutional Relations, & Economies Office) plays a crucial role in advancing Miami University's entrepreneurial, economic, and societal contributions in the communities where we live, work, educate, and partner. The Executive Assistant to the VP provides comprehensive, advanced, diversified, & confidential executive-level administrative support to the Vice-President. This position will assist the VP in the oversight and operations of the division with specific attention to managing the VP's schedule, correspondence, and office operations. The Assistant will act as a liaison between the Vice President and various internal and external stakeholders and, as such requires knowledge of the university and the ability to exercise independent judgment. Essential Duties and Responsibilities: Maintains the VP's calendar, which includes scheduling appointments for on/off campus meetings and visits by contacting prominent & influential leaders on campus and in government, education, industry, and local, state, and federal communities. Schedules all travel arrangements and conference registrations for the VP. Processes budget transfers, contract agreements, purchase orders, and requisitions, and serves as a delegate for applicable services in Workday. Serve as the VP's liaison, which includes scheduling meetings, preparing meeting materials, and setting agendas. Complete daily tasks, including but not limited to updating scorecards, budgets, maintaining contact reports, and research. Performs a variety of additional complex administrative tasks involving direction & confidentiality, using independent judgement to provide oversight of daily operations. Supervises and coordinates activities for the administrative professionals supporting the Office of ASPIRE and Fisher Innovation College@Elm. Minimum Qualifications: Requires at least two years of experience in an administrative support role and nine months of education or training beyond high school. Required Knowledge, Skills, and Abilities: Self-motivated, highly organized, high level of attention to detail, high level of attention to accuracy, and completeness, with the ability to anticipate problems and correct. Preferred Qualifications: Three years of experience working administratively in a higher education environment. Preferred Knowledge, Skills, and Abilities: Knowledge of Miami University policies and procedures concerning Workday, personnel, and procurement processes. Experience with ASPIRE, Fisher Innovation College@Elm, or the Government Relations Network. Experience communicating with and organizing Miami University's leaders, including but not limited to those within the President's office, Board of Trustees, Deans and Chairs, and the President's Executive Cabinet.
