Administrative Support Officer

The mission of the Louisiana Department of Health is to protect and promote health and to ensure access to medical, preventive, and rehabilitative services for all residents of the State of Louisiana. The Office of Aging and Adult Services (OAAS) is seeking a motivated and organized professional to provide high-level administrative support in its New Orleans Regional Office. In this role, you'll assist regional leadership in ensuring vital programs for older adults and individuals with adult-onset disabilities run smoothly and effectively. Displaying Expertise: The ability to exhibit specialized skills or knowledge gained from experience or training. Three years of experience in administrative services. EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. Job Duties: Provide front-line administrative support by answering phones, managing office email inboxes, scheduling meetings, and coordinating communications via Outlook and Zoom. Support program operations by tracking and processing Permanent Supportive Housing (PSH) applications, maintaining databases, and assisting with document preparation using Adobe Pro. Manage payroll and timekeeping duties for OAAS regional staff and serve as backup for related functions at the state office level. Maintain accurate records and compliance by organizing paper files, submitting document disposal requests, and managing National Voter Registration Act (NVRA) documentation. Oversee office logistics including supply inventory, equipment maintenance, and property control across multiple regions, ensuring readiness for audits and adherence to ORM safety policies. Assist with general administrative functions such as printing, mailing, scanning, attending meetings, and supporting OAAS emergency response efforts when activated. An ideal candidate will possess: Experience with administrative operations including timekeeping, supply/equipment management, property control, and safety audits. Familiarity with NVRA reporting requirements and Medicaid Long Term Care Programs (e.g., Nursing Facilities, CCW, ADHC, LT-PCS, PACE, PSH). Proficiency in Microsoft Office Suite, SharePoint, LEO, Zoom, and Adobe Acrobat (Reader and Pro). This position will require 5 days in the office. Some local in-state travel may rarely be required.
