The Receptionist provides exceptional service by greeting and assisting all visitors and answering inbound calls. Maintains a professional image of the company by providing prompt, courteous, and efficient service. As an team member, the receptionist may be called upon to assist in other SPS service areas such as mail/shipping operations, hospitality, and general office/facilities work based on operational needs to provide a top-tier customer experience.

Responsibilities

  • Primary function of reception/concierge: answer all calls/correspondences and provide an exceptional customer service experience for all incoming/outgoing visitors.
  • Light facilities/hospitality work: assist customers with opening troubleshooting tickets, help order supplies, stock kitchens/service areas with supplies, and set up/take down conference rooms for meetings/events.
  • Mail Service: assist mail services as needed, including sorting/distributing mail, receiving/tracking packages.
  • Provides 5-star customer service to all employees and visitors (in all forms of communication).
  • Answer incoming telephone calls and route callers to the appropriate person.
  • Log visitors into the registration system and activate temporary badges as needed.
  • Issue facility access cards and manage calls with professionalism and discretion.
  • Route global calls appropriately and escalate issues as needed; handle calls expeditiously and with a high standard of customer service.
  • Maintain current phone/speed dial lists and provide back-up coverage and guidance on policies and procedures.
  • Provide light administrative support (scheduling meeting rooms, ordering catering, assisting other teams with tasks).
  • Notify employees on inbound deliveries and manage mail/receipts per procedures.
  • Monitor and replenish office supplies and assist with copy/print tasks as needed.
  • Maintain professionalism and composure when interacting with callers/visitors.
  • Identify additional support needs when handling sensitive inquiries and provide back-of-office coverage as needed.
  • Proactively seek additional work during downtime.

Qualifications And Education Requirements

  • High School Diploma (or equivalent) required
  • 1-3 years prior work experience; strong preference for administrative/reception/concierge roles
  • Ability to work assigned hours determined by the manager
  • Excellent organizational and time management skills
  • Analytical problem-solving abilities
  • Strong written and verbal English communication skills
  • Customer-satisfaction driven and able to multi-task
  • Proficiency with computer-based systems (multi-phone line systems, PC/Mac, MS Office, copiers/scanners, etc.)
  • Professional appearance and adherence to policies

Physical Demands

  • Ability to lift or move up to 40 lbs. and maneuver packages with a cart up to 60 lbs
  • Ability to walk, bend, kneel, stand, and/or sit for extended periods
  • Manual dexterity for operating office equipment

Pay Range

$19.39 - $20.50 USD
