Office Manager
The Office Manager for the Animal Services Department is responsible for the efficient daily operation of administrative, veterinary support, and personnel management functions. This position requires strong multitasking and time management skills, the ability to thrive in multifaceted environments, and a working knowledge of animal care and veterinary procedures. The Office Manager serves as a key point of communication between the department and external parties including citizens, rescue organizations, volunteers, and partner agencies. Provide day-to-day oversight of administrative tasks within the Animal Services Department. Coordinate agenda planning and documentation for Animal Services and Neighborhood Services meetings. Dispatch service calls to Animal Services Officers and maintain accurate logs of call activity. Prepare and submit weekly and monthly statistical and performance reports for the department. Communicate effectively via phone and email with citizens, rescues, volunteers, vendors, and internal departments. Ensure accurate data entry and record-keeping using Excel, Word, and specialized animal services software. Assist with scheduling veterinary appointments, tracking medical records, and supporting veterinary care coordination. Intermittently handle and restrain animals safely when needed in the course of office duties. Assist in onboarding and training new staff in office procedures and protocols. Provide administrative support to the Animal Services Manager as required. Proficiency in Microsoft Office Suite (Excel, Word); Outlook knowledge preferred. Competency in using data entry and records management software; experience with animal sheltering or veterinary systems preferred. Ability to type a minimum of 40 words per minute accurately. Strong organizational and time management skills with the ability to manage multiple priorities under tight deadlines. Knowledge of basic methods and techniques of veterinary care, including medications, vaccinations, signalment, animal behavior cues. Ability to remain calm, composed, and professional during high-stress or emotionally charged situations. Strong written and verbal communication skills. Comfortable handling, restraining, and working with animals of varying sizes and temperaments on an intermittent basis. Capacity to maintain confidentiality and exercise sound judgment in sensitive situations. Establish and maintain effective working relationships with local veterinary staff, rescue partners, and stakeholders. Office and shelter environment; exposure to animals, animal waste, cleaning agents, and noise. Must be able to lift up to 40 pounds occasionally. May require occasional weekend or evening work depending on department needs. Requires sitting, standing, walking, bending, lifting, and computer use for extended periods. High school diploma or GED required. Associate's degree or higher in Business Administration, Animal Science, Veterinary Technology, or related field preferred but not required. Minimum of 2 years administrative experience in an office or veterinary setting. Veterinary technician certification or coursework preferred but not required. Must obtain Euthanasia Certification within 6 months of hire. 10 Yearly CE credit hours. Familiarity with local and state animal-related ordinances and regulations. Conflict resolution or customer service training. Event coordination or public outreach experience.
