As a member of the HR Operations team, the Sr. Benefits/HR Operations Specialist is responsible for managing the global benefits and leave management programs for employees in the US, Canada, Europe and APAC regions. In this role you will manage benefits programs, including vendor relationships, reconciliation, audits, open enrollment, and communications; respond to HR inquiries from team members; collaborate with HR Business Partners and HR Centers of Excellence to provide excellent customer service; and execute onboarding and offboarding processes. Additional responsibilities may include primary or backup support for compensation administration, HRIS updates/reports/audits, employee files, HR compliance, documentation, process improvement, global mobility and immigration. This person will manage benefit programs while implementing proactive recommendations to ensure employee knowledge of the related programs. The role involves interacting with employees and people managers at all levels and managing relationships with benefit providers. How you will provide meaningful contributions: Manages the company health & welfare, retirement and other benefit plans for US, Canada, Europe, and APAC based employees. Leads relationships with benefit providers, including brokers, vendors, and advisors to ensure accuracy in plan and claims administration. Leads employee education and communications for Open Enrollment, intranet pages, and employee inquiries. Acquires and distributes relevant information and documentation. Explains benefit plan policies, procedures, and legal requirements to employees and beneficiaries. Conducts/arranges group benefits education presentations. Ensures the accuracy of all benefits enrollments and setup in the HRIS to provide vendors with accurate information. Ensures plans are administered in accordance with company and regulatory guidelines. Manages timely completion of plan audits and government filings. Researches and recommends appropriate benefits plan designs and services based on data analysis. Informs the company of benefits trends in the market to advise on plan needs, trends, regulations and practices, to achieve company goals. Leads the modification of existing benefits programs. Manages all LOA and accommodation requests. Communicates with employees regarding leaves and/or modified work schedules. Ensures employees are aware of responsibilities, documentation, and notice requirements. Maintains complete and accurate records in accordance with legal requirements and best practices. Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits. Ensures Payroll has accurate time off records for paid LOA. Effectively interprets FMLA and ADA implications as they relate to leaves of absence/disabilities. HR Operations Onboarding and offboarding activities for US/Canada employees including pre-hire communications, new hire documentation, employment eligibility verification (Form I-9, E-Verify), orientation logistics, departure meetings, and answering employee questions. Communicate with internal team members including the manager, HR Business Partners, Talent Acquisition, IT, Payroll, and Benefits. Manage benefits/employment-related inquiries from employees and supervisors; independently respond or make suggestions to the appropriate teams to keep all concerned parties informed. Provide research and background information as appropriate. Coordinate with HR Business Partners, COE, and other teams for timely responses. HRIS and employee documentation. Provide HR data and changes to payroll. Maintain records, process changes, and provide reports. Analyze data to identify trends/issues and make recommendations to leadership on actions. Manage digital solutions for HR processes to ensure proper information is gathered, reported, and communicated to the appropriate teams. Work with HR Ops, HR Business Partners, and COE teams on other HR workstreams and projects, including compliance, compensation & benefits, HRIS, global mobility, leave & accommodation request management, talent acquisition, background checks, recognition programs, company culture, etc. Administers and executes human resource projects as needed. Complete data requests, audit requests, analysis, or special projects. Maintains company compliance with federal (US, Canada), state/province, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance. Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources and employment law. Performs other duties as assigned. Basic Qualifications for Consideration: Demonstrated ability to apply Benefits and Human Resources KSAs as demonstrated through a combination of work experience, academic achievement, and/or professional certifications: Prior in-depth benefits experience (in a software, finance, or professional services organization, or similar industry preferred) Degree in Human Resources, Business Administration, or a related field CEBS, SHRM-CP, HRCI PHR, or similar certification Computer Proficiency Microsoft Office Suite or related software; proficiency in Excel Proficiency with or the ability to quickly learn the organizations HRIS, LMS, and related HR systems; UKG experience preferred Knowledge/Skills/Abilities Ability to thrive in a fast-paced environment, work across multiple time zones and countries; primary focus is US/Canada Advanced knowledge of employee benefits and applicable laws and regulations to ensure compliance Experience partnering with/managing 3rd party vendor relationships High-level verbal and written communication skills, with internal and external stakeholders High-level organizational skills and attention to detail; accuracy High-level time and project management skills with a proven ability to meet deadlines High-level interpersonal skills and emotional intelligence Strong presentation skills, both in-person and virtual formats Strong analytical and problem-solving skills Good negotiation and conflict resolution skills Ability to prioritize tasks and act with a sense of urgency Ability to act with integrity, professionalism, and confidentiality About InvestCloud
