JOB OBJECTIVES (Purpose of the position):
Responsible for onboarding new employees; completing GCIC/FBI background checks for full-time and temporary employees; creating and maintaining employment records; and administering the Frontline Education Suite (Absence Management and Time & Attendance)
ESSENTIAL JOB FUNCTIONS (Functions essential to attaining job objectives):
Strategic Goal Area I - Student Achievement Ensure that students are taught and served by highly qualified/high-quality teachers and classified staff by supporting timely onboarding, credential verification, and accurate personnel records Strategic Goal Area II - Stakeholder Engagement & Loyalty
Promote professionalism, motivation, and teamwork among classified staff Assist school and system-level administrators with classified personnel matters and navigation of HR processes Cooperate with and maintain positive relationships with school personnel, county office employees, external agencies, and the public; provide courteous, timely customer service to applicants and employees Serve as Spanish translator/interpreter for CCBOE applicants/employees and prospective employees, as needed, and if bilingual Strategic Goal Area III - Efficient and Effective Organizational Processes
Administer the Frontline Education Suite a. Configure and maintain user accounts; provide basic end-user guidance b. Assist employees with Absence Management (leave requests) and troubleshoot account issues c. Build and update schedules in Time & Attendance for classified Employees d. Create and maintain forms/form packets in Frontline Recruiting & Hiring e. Set up Recruiting & Hiring profile accounts for CCBOE employees Coordinate and complete GCIC/FBI background checks and fingerprinting as required by law for prospective and current employees; track results and clearances Facilitate employee onboarding a. Call and schedule appointments with new employees b. Create Infinite Campus accounts and assist with district account creation as appropriate c. Set up Frontline Education accounts d. Prepare new-hire packets and ensure completion of required forms Support hiring of temporary employees a. Call and schedule appointments; conduct background checks b. Notify designated points of contact (POCs) when background checks are complete Process unemployment requests for former employees; respond to inquiries and assist employees with questions regarding the unemployment process; prepare materials for unemployment hearings Prepare and mail separation notices following Board meetings; ensure mailing occurs on the effective date and records are updated Scan personnel files into the HR document management system; maintain accurate, complete personnel records in accordance with retention schedules Maintain HR databases and spreadsheets; perform data entry and quality checks to ensure accuracy and confidentiality Perform other related administrative duties to support efficient HR operations as assigned Strategic Goal Area IV - Continuous System and School Improvement
Attend and participate in HR trainings, meetings, and professional learning as required Assist with the selection and recommendation of certified substitute teachers for long-term positions, in collaboration with HR leadership Maintain working knowledge of relevant federal and state laws, State Board of Education rules, certification requirements, and district policies and procedures Perform such other duties and tasks and assume such other responsibilities as may be assigned OTHER EXPECTATIONS
Adhere to the Code of Ethics for Educators in Georgia Demonstrate prompt and regular attendance/timeliness Complete assignments and requirements on time and in compliance with directions, policies, and procedures Maintain accurate, complete, and appropriate records; file reports promptly Maintain confidentiality of information and records for students and staff Communicate effectively with students, peers, administration, parents, and the public Exhibit pleasant behavior and project a positive image when dealing with students, peers, administration, parents, and the public JOB STANDARDS (Minimum qualifications needed to perform essential job functions):
General knowledge of applicable state and federal laws and Board policy regarding employment, certification, employee separation, and related personnel issues; knowledge of related computer applications; understanding of personnel records and record-keeping requirements Minimum of a high school diploma; college degree or technical degree preferred Minimum of three to five years of related experience Ability to communicate effectively with employees, applicants, the public, and other agencies; demonstrates correct standards for grammar, vocabulary, punctuation, and spelling Ability to perform basic math functions and interpret data involving general mathematical and statistical concepts Ability to define problems, collect data, establish facts, and draw valid conclusions; ability to carry out detailed instructions and solve problems involving a few variables Must be able to operate in a computer-based environment, including the Enterprise Resource Planning (ERP) Pro and Frontline Education Suite Preferred: Bilingual (Spanish/English) to support translation needs JOB LOCATION (Place(s) where work is performed):
