Executive Secretary Job Location: Sacramento, California Job Type: Temporary Pay Rate: $33-40.11/hour Schedule: Monday - Friday; 8am-5pm Description of Position: Do you have experience as an Executive Secretary? Our client is seeking a highly skilled Executive Secretary to provide advanced administrative and secretarial support to a County Agency Administrator, Department Director, or other executive-level management. This role requires strong independent judgment, the ability to handle confidential information, and the capacity to anticipate needs while meeting critical deadlines. This position is ideal for an experienced administrative professional who thrives in a dynamic government setting and is ready to take ownership of complex tasks that directly support high-level decision-making. Job Responsibilities:

Provide executive-level administrative support including scheduling, correspondence, and recordkeeping. Screen visitors and phone calls, resolve issues using sound judgment, and interpret policies and procedures. Coordinate meetings (in-person and virtual), prepare agendas, materials, and manage logistics. Arrange travel and maintain calendars for executives and staff. Draft, edit, and format correspondence, memos, and reports with minimal input. Maintain confidential and complex records to ensure accuracy and compliance. Serve as a liaison between department leadership, staff, other agencies, and the public. Research, compile, and summarize data and reports as needed. Organize workload, set priorities, and ensure deadlines are met for yourself and supporting staff. Supervise or guide clerical or temporary staff when required.

Description of Company: You will be supporting a government agency in a city in Sacramento County. Qualifications: Education & Experience: Option 1: Two (2) years of full-time paid secretarial or administrative assistant experience in a government agency, directly supporting a manager or higher-level position. Option 2: Four (4) years of full-time paid clerical or higher-level experience, including all of the following:

Calendar management for a supervisor, program, or department Preparation of agendas, meeting materials, and minutes Screening/routing calls, correspondence, and visitors

Knowledge of:

Administrative and secretarial practices, including calendar management Government operations and organizational structure Business correspondence and professional writing standards Data collection, recordkeeping, and office systems (electronic and physical) Microsoft Office Suite, virtual meeting platforms, and database applications

Ability to:

Exercise discretion and maintain confidentiality Work independently, prioritize tasks, and meet critical deadlines Communicate clearly and concisely, both verbally and in writing Provide excellent customer service to staff and the public Build effective working relationships across departments and agencies
