Part-Time Special Projects Specialist
This performs a variety of professional and administrative work in planning, organizing, coordinating, implementing, and evaluating special events, film permits, and projects under Community Recreation. Assists in the supervision of the Special Projects Assistant, volunteers, and vendors. Exercises considerable initiative and judgment under the supervision of the Special Projects Coordinator. The Special Projects Specialist will assist the Special Project Coordinator in coordinating and implementing a variety of event activities, provide information on permit requirements, recreation events and activities, handle cash and sales transactions, prepare and serve food, and assist with the cleanliness and maintenance of the facility or event location of assignment. Job Duties and Responsibilities: Responds to public inquiries and customer concerns regarding special events, projects, and permits in a timely, professional, and customer-friendly manner. Explains and enforces permit rules and regulations. Troubleshoots and resolves problems. Fosters open communication with customers and residents. Insures the highest level of responsiveness to customer concerns and solicits ongoing customer feedback. Assists in the development, programming, and supervision of recreational special events, approved City sponsored special events, as well as external special events permitted through the City. Trains and supervises the Special Projects Assistant, vendors, and volunteers to ensure outstanding customer service. Provides exceptional customer service in person, via email, and over the telephone. Operates a multi-module and global recreation management system including Point of Sale, activity registration, pass management, rental reservations, ticket sales, report processing, etc. Operates a cash register/drawer and performs mathematical calculations. Handles cash, reconciles deposits and change banks, and performs end of shift/day reports. Assists the Special Projects Coordinator with the permitting of internal and external special event and film permit applications. Maintains order and discipline of patrons & vendors and ensures that all regulations and safety precautions are observed and followed. Oversees any necessary maintenance, set-up, or breakdown of special event locations. Ensures that the maintenance of each special event site is of the highest standard in terms of cleanliness and safety. Maintains inventory and oversees the inspection and preventative maintenance of special event equipment to ensure safe operations and aesthetics. Administers basic first aid as required and prepare and completes required paperwork related to first aid. Attends all staff meetings, trainings, and other functions as required. Maintains regular office hours to respond to permit inquiries and works after hours, weekends, and holidays to oversee special events. Conforms to all City regulations, policies, procedures, and safety rules. Performs other related duties as assigned. Qualifications: High school diploma or equivalent. Must be at least 18 years of age. One (1) year customer service experience required. One (1) year retail or cash handling experience required. Food handling experience preferred. First Aid & CPR Certification preferred. Valid Florida Driver's License. A comparable amount of training or experience may be substituted for the minimum qualifications. Leave is accrued but not able to use during first 90 days of employment. Sick Leave: 4 days per year. Employees may convert to annual leave 15 hours if more than 2 days have been accrued and unused during the fiscal year. Holidays: 13 holidays (If scheduled to work, plus 1 floating day). Bereavement: 3 Days for the death of an immediate family member (Parent, spouse, or child) and 2 days for any other immediate family member.
