We are looking for a detail-oriented and personable Receptionist to join our team in Vadnais Heights, Minnesota. In this Contract to permanent position, you will serve as the first point of contact for visitors and callers, ensuring a welcoming and secure environment at a corporate headquarters. This role offers an exciting opportunity to interact with a broad range of individuals while supporting administrative and security-related functions.
Responsibilities:
• Greet visitors warmly and assist them with signing in and navigating the premises.
• Manage incoming calls on a multi-line phone system, directing inquiries to the appropriate contacts.
• Monitor building security by leveraging security cameras and reporting concerns to the appropriate personnel.
• Generate and maintain reports related to visitor management, maintenance logs, and other operational needs.
• Address and escalate facility-related issues, such as spills or maintenance concerns, to the relevant departments.
• Collaborate with executives, contractors, and other stakeholders to ensure smooth daily operations.
• Maintain a detail-oriented appearance and demeanor while interacting with individuals from diverse backgrounds.
• Provide clear communication and relay information accurately to the proper recipients.
• Adapt to fluctuating activity levels and maintain resilience in challenging situations.
• Uphold safety and security standards by observing and reporting any irregularities.• High school diploma or equivalent.
• Experience with receptionist duties, including handling multi-line phone systems.
• Proficiency in Microsoft Excel for basic reporting and data management.
• Familiarity with security systems, including monitoring cameras and addressing safety concerns.
• Strong communication and interpersonal skills to engage with various personalities.
• Ability to remain calm and focused in high-pressure situations.
• Punctuality and consistent attendance are essential.
• Social awareness to gauge appropriate interaction levels in different scenarios.
