Overview

The Commercial Club of Chicago and Civic Committee is a membership organization of senior leaders in the region. Members span the business, education, civic, cultural, and philanthropic sectors, unified by excitement for the future of Chicago. The Civic Committee’s mission is to make the Chicago region a great place for everyone to live, work, and do business. It identifies key issues facing Illinois and the greater Chicago region and provides leadership, high-quality research, long-term policy recommendations and programmatic actions for the benefit of the city, region, and state. Focus areas currently include public safety, business opportunity, transportation and infrastructure, and state/local finance. The Civic Committee also works alongside and partially funds organizations established by it, including Civic Consulting Alliance, Kids First Chicago, and P33.

Position Summary

The Administrative Assistant supports the Senior Vice President for Public Safety and the Senior Vice President for Economic Opportunity in the day-to-day management and administration of two primary policy initiatives and their task forces. This is a dual reporting role. Primary responsibilities include:

  • Scheduling and coordinating all internal and external meetings, with attention to needs and protocols for both virtual and in-person formats.
  • Attending meetings and taking minutes as requested by the SVPs.
  • Drafting correspondence and supporting communications to internal and external stakeholders, including emails and briefing memos.
  • Coordinating, finalizing, and distributing background materials for task force meetings and related activities with Civic Committee/Commercial Club entities.
  • Preparing and filing expense reports for both SVPs.
  • Planning and scheduling travel; arranging detailed itineraries and agendas as needed.
  • Coordinating with the President’s Executive Assistant and other assistants across the organization.

Senior Vice President for Public Safety - Specific Support Functions

  • Serve as primary administrative support for Public Safety Task Force stewardship, communication, and convening, including developing meeting invitations, calendar invites, logistics, catering, and other needs.
  • Draft letters, personal correspondence, and other deliverables with a hands-on approach.
  • Coordinate scheduling requests and administrative needs with outside stakeholders on behalf of the SVP for Public Safety.

Senior Vice President for Economic Opportunity - Specific Support Functions

  • Serve as primary administrative support for Chicago Business Opportunity Task Force stewardship, communication, and convening, including developing meeting invitations, calendar invites, logistics, catering, and other needs.
  • Support initiative programming through event planning and logistics, participant communication and stewardship, and overall program execution.
  • Assist with grant document submissions as needed for the SVP.

Education and Experience Requirements

  • Five to seven years of progressively responsible administrative support, ideally with C-suite executives and/or board members in a fast-paced office.
  • Commitment to Chicago/the region and interest in research and the nonprofit sector.
  • Initiative and excellent communications skills to ensure alignment with organizational objectives.
  • Ability to maintain strict confidentiality and exercise professional judgment.
  • Proven scheduling and coordination experience, with a track record of organizing large meetings 3–6 months in advance.
  • Strong writing skills for formal business correspondence and documents.
  • Strong customer service and interpersonal skills; ability to work under deadlines and stress.
  • Expert proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams) and Adobe Acrobat; experience with project management tools (e.g., Asana, Trello, Monday.com, Airtable) preferred.
  • Experience with remote platforms (Zoom, WebEx, etc.) and use of AI tools for writing/editing communications.

Compensation

Commensurate with experience, starting salary at $60,000; competitive benefits package, subject to policy eligibility guidelines.
