About The Role The Executive Assistant will provide high-level administrative support to the President of PMMC as well as senior executives, ensuring seamless coordination of schedules, meetings, communications, and follow-ups. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key partner to the President in maintaining efficiency and follow-through on organizational initiatives.

Responsibilities: Manage and maintain the President’s personal and business calendars, as well as senior executives’, including scheduling, coordinating, and confirming appointments, meetings, and events. Attend meetings with or on behalf of the President; record accurate and detailed notes, minutes, and action items. Track and follow up on action items from meetings to ensure timely progress and completion. Take and prepare official minutes for board meetings and other key organizational meetings. Prepare and distribute weekly reports for the President, including progress updates and follow-up tasks. Assist in drafting correspondence, presentations, and other materials as needed. Act as a liaison between the President and internal/external stakeholders, ensuring clear and timely communication. Handle sensitive and confidential information with discretion and professionalism. Book and coordinate travel arrangements, including flights, accommodations, transportation, and itineraries. Provide general administrative support, including document management, travel coordination, and other duties as assigned.

Qualifications & Requirements Bachelor’s degree in Business Administration, Communications, or a related field preferred. Proven experience (3–5 years) supporting senior-level executives or in a similar role. Exceptional organizational, time management, and prioritization skills. Strong written and verbal communication skills, with excellent attention to detail. Ability to manage sensitive and confidential information with the highest level of integrity. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project/task management tools. Professional demeanor with the ability to interact effectively across all levels of the organization.
