Overview
The Administrative Assistant provides high-level administrative support to ensure efficient operation of the office. This role requires excellent organizational skills, strong attention to detail, and the ability to manage multiple priorities.
Organizational Relationships
- Reports to Internal Services Director.
- This is a non-supervisory position.
- Has regular contact with other employees; may have contact with a variety of other city organizations, vendors, public, etc.
Essential Duties
- Works with department team members to master the basic processes and procedures.
- Processes invoices, purchase orders, work orders, and monthly reports using various software applications.
- Organize and maintain filing systems both digital and physical.
- Assist with special projects and ensure deadlines are met.
- Maintains, orders, and organizes supplies and materials.
- Schedules and provide support for meetings, training, and events; maintains appropriate calendars; coordinates travel for the department.
- Drafts letters, memos, forms, general correspondence, and presentations using appropriate software.
- Assist with managing department budgets.
- Enter and update data in spreadsheets
- Assist with preparing, formatting, and submitting proposals and bid packages.
- Organize and maintain a database of contracts, amendments, and related documents.
- Maintains the Department’s policies and standard operating procedures
- Prepares and maintains monthly departmental reports.
- Assists with Insurance Claims for Fleet and Property.
- Assists Finance with duties as assigned and special projects.
- Supports onboarding new employees.
- Support day-to-day office operations and other duties as assigned.
Qualifications
- Excellent organizational and time management skills.
- Ability to multitask and prioritize tasks effectively
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams) and familiarity with office equipment.
- Ability to work independently and manage multiple priorities.
- Strong attention to detail and accuracy.
- Ability to handle sensitive and confidential information with professionalism and integrity.
- 3 years’ experience as Administrative Assistant.
Acceptable Experience and Training
- High School diploma or its equivalent
- Two (2) years of administrative and clerical experience preferred
- Any related experience that includes clerical tasks, customer service, research, data entry, and working with computers
- Experience working with governmental entity preferred
Certificates/Licenses Required
- Valid Texas Driver’s license
