About The Role
The ServiceNow Hardware Asset Manager is responsible for managing and configuring the Hardware Asset Management Pro (HAM Pro) module within the ServiceNow platform, overseeing the entire lifecycle of hardware assets, including procurement, deployment, maintenance, and disposal, by utilizing the advanced features of HAM Pro to track asset details, generate reports, and ensure compliance with company policies.
Duties and Responsibilities
- Create and maintain accurate records of hardware assets within ServiceNow, including details like serial numbers, purchase dates, asset tags, and location
- Manage the asset lifecycle from procurement to disposal, including tracking deliveries, and coordinating decommissioning
- Configuration and Administration
- Configure HAM Pro settings including custom fields, workflows, and business rules to align with specific organizational requirements
- Set up asset categorization and tagging for efficient reporting and analysis
- Manage user access and roles within HAM Pro to ensure data security and integrity
- Reporting and Analysis
- Generate reports on asset utilization, maintenance costs, and compliance status
- Analyze asset data to identify trends and potential costs savings opportunities
- Create dashboards to visualize key asset metrics for stakeholders
- Integration with other systems
- Integrate HAM Pro with other ServiceNow modules like Incident Management and CMDB to provide a holistic view of IT assets
- Establish data synchronization with external systems like procurement tools or accounting systems
- Collaboration and Support
- Work closely with IT teams to ensure accurate asset data collection and maintenance
- Provide training and support to users on HAM Pro functionalities
- Troubleshoot issues related to asset management within ServiceNow
- Other Activities
- Review previous night’s Discovery schedules for diagnosable errors
- Work with the Discovery team on any errors related to discovery of Hardware
- Review any error logs, if applicable, from other data integrations (procurement etc.)
- Administer user access to FedEx, UPS, Staples and Strive accounts in coordination with the Corporate Operations Specialists
- Conduct physical inventory of IT assets quarterly and work with the financial department as needed to finalize the inventory results
- Responsible for the organization and efficiency of the shipping and receiving functions for the IT department, which includes maintaining adequate materials for tracking details and maintenance of the shipping room
- Review Service Level Agreements (SLAs) on new hardware deployment for onboards / reclamation of hardware for offboards
- Preparation of trend reporting on SLAs and discussion with staff and stakeholders on any issues or under-performance
- Review of disposed assets to ensure they are properly managed in the system
- Monthly: Meet with peers across the enterprise to review major incidents or planned feature updates, prepare for audits, review requests for enhanced feature functionality, and ensure disposal regulations are met with proper documentation
- Yearly: Review version release notes, identify HAM changes, discuss upgrades or new functionality with stakeholders, and plan communications to increase awareness of IT Asset Management for Hardware
- Required: Associate Degree — a two-year college degree or equivalent
- Required: 3 years administrative experience
- Required: 1 year experience in shipping and receiving
- Preferred: 1 year experience in an IT support position
- Equivalent combination of relevant education and work experience may be considered
- Required within 6 months of hire: ServiceNow CSA-Certified System Administrator
- Required within 6 months of hire: ServiceNow Hardware Asset Management Fundamentals
- Preferred: ITIL 4 Foundations, IAITAM certifications (CAMP, CHAMP, CITAM)
- Courteous and tactful with customers and colleagues
- Intermediate MS Excel and proficiency with MS Office
- Effective writing and communication skills
- Highly motivated, disciplined, and service-oriented
- Strong organizational, customer service, communication and decision-making skills
- Regular, reliable, and timely attendance
