This role is for an Executive Assistant within Salesforce & Slack Executive Assistants, supporting top executives globally.

Department: Salesforce & Slack Executive Assistants. Role: Executive Assistant contributing to the growth of the company, with duties tailored to the executive’s job functions, personality, and communication style. Our culture is positive, diverse, and collaborative.

Responsibilities

  • Manage day-to-day schedules to ensure the executive can fulfill obligations in an organized, efficient way.
  • Coordinate internal and external meetings, including team meetings, all-hands, off-site meetings, one-on-one meetings, and meetings with customers and partners.
  • Proactively manage calendar priorities based on customer meetings, release cycles, fiscal calendars, current projects, team needs, and events.
  • Book appropriate domestic and international travel within Salesforce travel policy, considering visas, costs, and proper documentation.
  • Collaborate with employees across groups and with senior executives inside and outside the company; identify key stakeholders.
  • Assist with food orders, luncheon planning, and planning of other business-related meetings as requested.
  • Perform other administrative and project duties as requested.

Minimum Requirements

  • Minimum of 5+ years of applicable administrative experience, ideally from a global software organization.
  • Strong execution of administrative activities with high attention to detail, organization, and process.
  • Experience setting up and managing virtual meeting platforms (Zoom, Webex, GoToWebinar, Google Meet) and conference calls.
  • Strong teamwork skills; ability to contribute improvements to processes and work collaboratively.
  • Strong relationship management skills; ability to build a personal network across the company.
  • Project coordination experience at an intermediate level.
  • Strong verbal and written communication; ability to communicate clearly with senior leaders and external partners.
  • Experience partnering with senior management in a fast-paced, innovative environment.
  • Experience working with large administrative teams.
  • Working proficiency with Google Suite (Gmail, Docs, Drive, Meet). Experience using Quip, Slack, Salesforce and Tableau is a plus.
