Department Description: Salesforce & Slack Executive Assistants support top executives across the globe. These team members are strategic partners who keep executives and their teams focused on company goals while embracing the Salesforce Ohana.

Role Description: We are looking for Executive Assistants to contribute to the growth of our company. This role involves working with individuals united by teamwork, service, and excellence. Each Executive Assistant will apply skills based on their executive’s function, personality, and communication style. Salesforce maintains a positive, diverse, and supportive culture, and we are adding a strong contributor to our Executive Assistant team.

Core Responsibilities

  • Manage day-to-day schedules to enable the executive to fulfill obligations in an organized, efficient way.
  • Coordinate internal and external meetings (team meetings, all-hands, off-site, one-on-one, customer meetings, etc.).
  • Proactively manage calendar priorities based on customer meetings, release cycles, fiscal calendars, current projects, team needs, and events like Dreamforce.
  • Book appropriate domestic and international travel within Salesforce’s travel policy, considering visas, costs, and proper documentation.
  • Collaborate effectively with employees from other groups and senior executives inside and outside the company; recognize key stakeholders across organizations.
  • Assist with food orders, luncheon planning, and planning of other business-related meetings as requested.
  • Other administrative and project duties as requested.

Minimum Requirements

  • Minimum of 5+ years of applicable administrative experience, ideally in a global software organization.
  • Strong attention to detail, organization, and process in executing administrative activities.
  • Experience setting up and managing virtual meeting platforms (Zoom, Webex, GoToWebinars, Google Hangouts) and conference calls.
  • Strong teamwork skills with the ability to offer suggestions and improve processes, working collaboratively with others.
  • Strong relationship management skills and ability to build a personal network across the company.
  • Intermediate project coordination experience.
  • Strong verbal and written communication; ability to communicate clearly with senior leaders and external partners.
  • Experience partnering with senior management in a fast-paced, innovative environment.
  • Experience working with/in large administrative teams.
  • Working proficiency of Google Suite (Gmail, Docs, Drive, GMeet). Familiarity with Quip, Slack, Salesforce, and Tableau is a plus.
