Executive Assistant to the CEO — We are seeking a highly organized, proactive, and results-driven Executive Assistant to provide direct support to the CEO of a dynamic real estate industry. This role requires a professional with exceptional communication skills who genuinely cares about clients, understands their needs, and consistently goes above and beyond to deliver. You will play a key role in ensuring smooth operations, supporting business and personal priorities, and helping drive the success of the organization.

Responsibilities

  • Provide direct executive support to the CEO, including calendar management, scheduling, and high-volume email.
  • Anticipate and identify client needs, providing solutions proactively and ensuring an exceptional client experience.
  • Manage client communications and correspondence effectively in English and Spanish.
  • Persuasively guide clients toward the right decisions while earning their trust.
  • Confidently interact with high-net-worth individuals, adapting to their expectations with professionalism and discretion.
  • Handle challenging client situations with empathy, composure, and strong problem-solving skills, turning obstacles into opportunities.
  • Coordinate property showings, team meetings, and client appointments.
  • Conduct research on properties, markets, and client-related information to support decision-making.
  • Manage and improve administrative systems, workflows, and processes to increase efficiency.
  • Assist the CEO in staying on top of priorities and deadlines.
  • Support the CEO with personal tasks and errands as needed to ensure overall productivity.
  • Highly organized, structured, and detail-oriented, with excellent time management and prioritization skills.
  • Exceptional interpersonal and communication abilities, with a customer-first mindset.
  • Ability to influence, guide, and persuade clients while building lasting trust.
  • Resilient and resourceful, thriving under pressure and adapting quickly to challenges.
  • Strong attention to detail, especially when managing documents and contracts.
  • Creative eye for real estate properties, staging, and interior design is a plus.
  • Tech-savvy and comfortable using digital tools for organization and coordination.
  • Loyal, committed, and looking for long-term stability in a collaborative work environment.
  • Capable of working independently and providing balance to the CEO’s work style.
  • Discreet, trustworthy, and professional when handling sensitive information.
  • Able to manage multiple platforms and tools without being easily distracted.
  • Familiarity with real estate, title processes, and contracts preferred but not required.

Technical Skills

  • Proficient in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Comfortable with Apple devices and iOS applications.
  • Familiar with CRM platforms, scheduling tools, and digital communication platforms.
  • Comfortable managing social media platforms and assisting with content creation, with experience using tools like Canva, Cap Cut, Adobe, and others (preferred but not required).

Additional Notes

  • This is a full-time, in-person position based in San Juan.
  • Must have a reliable car for transportation and a valid driver’s license.
  • Must be willing to travel with the CEO when necessary (approximately 50% of the time, within the island).
  • Location: San Juan, Puerto Rico
  • Salary: $18,720 - $26,000
