Our client is a top financial institution with significant North American holdings, operating across major verticals including institutional & corporate, wealth management, private client, commercial banking, treasury, and retail banking.

Introduction

Robertson is seeking a skilled Executive Assistant to join our client.

Contract Period

6 months with potential to extend or convert

Pay Rate

$34.28 per hour

Location

New York, NY

Location Type

Hybrid; 4 days in office

Business Hours

Monday to Friday; hours may vary (e.g., 8:30 am - 5:00 pm or 9:00 am - 6:00 pm)

Job Responsibilities

  1. Lead planning, coordinating, and implementing department events.
  2. Provide senior-level administrative and operational support within a diverse team including senior executives.
  3. Use systems (e.g., customized reports, tracking reports) to manage information.
  4. Integrate information from multiple sources for efficient processes and reporting.
  5. Assist in planning and implementing administrative programs.
  6. Build effective relationships with internal and external stakeholders.
  7. Gather and format data into reports and dashboards.
  8. Monitor budgets and report on results versus budget.
  9. Coach and mentor junior administrative assistants.
  10. Manage calendars, schedule meetings, book rooms, and support meeting logistics.
  11. Develop and maintain filing systems for easy access to documents.
  12. Assist in developing and distributing communications, including writing and editing.
  13. Process invoices and manage departmental expenses within budget.
  14. Arrange travel accommodations as needed.
  15. Liaise with vendors and coordinate office-related matters to ensure smooth operations.
  16. Maintain supplies inventory and track staff absences and overtime.
  17. Coordinate training requirements for staff.
  18. Propose creative solutions and exercise judgment in problem-solving.
  19. Perform additional duties as assigned.

Experience & Qualifications

  1. 5-7 years of relevant administrative or professional support experience; post-secondary degree in a related field.
  2. Specialized knowledge from education or business experience.
  3. Excellent verbal and written communication skills.
  4. Strong collaboration and teamwork skills.
  5. Analytical and problem-solving abilities.
  6. Attention to detail and organizational skills.
