About the Role
We are seeking an experienced and highly skilled professional Executive Assistant to provide support to the C-suite, with a primary focus on the CEO and President of Savills North America. The ideal candidate is a polished, resourceful, and detail-oriented individual who thrives in a fast-paced environment and can anticipate needs while managing competing priorities. This role demands exceptional discretion, organizational excellence, and the ability to interact seamlessly with senior executives, board members, clients, and internal stakeholders.
Key Duties & Responsibilities
- Manage complex calendars and scheduling for the CEO and President, ensuring priorities are met and time is optimized.
- Coordinate and manage calendars and scheduling for other C-suite executives as needed
- Coordinate and prepare materials for meetings, including agendas, presentations, and briefing documents.
- Handle confidential information with the highest level of integrity and professionalism.
- Coordinate domestic and international travel logistics, itineraries, and related expense reporting.
- Prepare, review and submit expense reports for other Corporate employees.
- Track and process Corporate invoices.
- Support planning and coordination of leadership offsites, board meetings, and special events.
- Proactively manage administrative processes to streamline efficiency for the executive office.
- Other administrative projects as needed.
Preferred Education & Experience
- Bachelor’s degree preferred; equivalent experience considered.
- 5–7 years of professional experience, with at least 3 years supporting senior executives in a fast-paced corporate environment.
- Exceptional organizational skills with the ability to manage multiple priorities and shifting deadlines.
- Strong written and verbal communication skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel); comfort with new technologies and systems.
- Professional presence, judgment, and discretion in handling sensitive information.
- Ability to anticipate needs, act proactively, and adapt quickly to evolving demands.
