A leading private consulting firm in Chicago is seeking a highly skilled Executive Assistant/Personal Assistant to support the CEO. This is a unique opportunity for a polished, discreet, and proactive professional who excels in a high-performance environment and is comfortable managing both professional and personal responsibilities. The role offers a competitive salary of $125,000$140,000 plus bonus, commensurate with experience. A comprehensive benefits package is provided, including medical and dental insurance and generous PTO. Please note this role is 4 days in office.
Responsibilities of the Executive Assistant/Personal Assistant
- Provide high-level executive support to the CEO, including complex calendar management, meeting coordination, and domestic/international travel arrangements.
- Act as a gatekeeper and liaison, managing communications with internal teams, external stakeholders, and personal contacts with discretion and professionalism.
- Prepare reports, presentations, and correspondence on behalf of the partner; maintain meticulous attention to detail across all documents.
- Assist with various personal tasks, including household scheduling, travel planning, gift purchasing, event coordination, and vendor management.
- Manage expense reports, invoices, and credit card reconciliations, ensuring accuracy and timely submission.
- Proactively anticipate the needs of the executive and stay several steps ahead to streamline both work and personal routines.
- Support ad hoc projects and confidential initiatives across both professional and personal spheres.
- Coordinate logistics for special events, dinners, and travel for the partners family as needed.
- Maintain a high level of confidentiality and exercise sound judgment in all matters.
Requirements of the Executive Assistant/Personal Assistant
- 5+ years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff supporting a senior executive or high-net-worth individual; professional services experience preferred.
- Strong command of Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with expense reporting and CRM tools is a plus.
- Demonstrated ability to juggle professional and personal responsibilities with grace, precision, and utmost discretion.
- Excellent communication skills, both written and verbal, and a professional, polished demeanor.
- Highly organized, proactive, and resourceful with a keen attention to detail.
- Ability to adapt in a fast-paced, high-demand environment while maintaining composure and professionalism.
