A South Bay household is seeking an Executive Personal Assistant to provide seamless support across both personal and professional needs. The role leans heavily toward lifestyle managementproperties, travel, family coordinationwith some light administrative support. The right candidate will be proactive, discreet, and adaptable, with a service-first mindset and the ability to respond outside standard hours when needed. Success in this role comes from anticipating needs, keeping details organized, and bringing a calm, professional presence to a busy environment.
Key Responsibilities
- Manage and reconcile personal and light business expenses, addressing discrepancies with accounting when needed.
- Maintain both personal and business calendars, coordinating a high volume of appointments and ensuring commitments are met.
- Oversee multiple residences in the South Bay, serving as the main point of contact for contractors, vendors, and service providers, while managing preventative and ongoing maintenance.
- Assist with planning and execution of family gatherings, firm events, and social outings.
- Organize complex travel arrangements for the executive and family, including private aviation, commercial flights, accommodations, and ground transportation.
- Run errands, handle shopping and gifting, and respond to ad hoc personal requests with discretion and efficiency.
- Act as a liaison for family needs, including childrens travel and scheduling.
- Create and refine organizational systems that keep a busy, multifaceted lifestyle running smoothly.
Qualifications
- Bachelors degree or equivalent work experience.
- High level of integrity, discretion, and trustworthiness.
- Strong organizational skills and meticulous attention to detail.
- Excellent communication and follow-through abilities.
- Adaptable, resourceful, and eager to learn.
- Valid drivers license, reliable vehicle, and active insurance.
- Proficiency with Microsoft Office, particularly Word and Excel.
- Ability to juggle multiple priorities while staying calm under pressure.
- Independent worker with sound judgment and ownership mentality.
- Familiarity with real estate operations is a plus.
