Base pay range

POSITION: Executive/Personal Assistant
LOCATION: New York, NY - In office Monday-Friday
HOURS: 8:00AM - 6:00PM with availability for extended hours, including occasional evenings and weekends

Our client is a privately-held global industrial company with businesses spanning building solutions and specialty chemicals and annual revenues of approximately $11 billion. They also manage a broad portfolio that spans public equities, ventures, and real estate with a focus on companies and assets that operate at the intersection of industry and technology. They are seeking an exceptionally dynamic, highly organized, and discreet Executive/Personal Assistant to provide comprehensive, 24/7-style support to the Vice Chairman. This role will act as a trusted right-hand, seamlessly managing both professional and highly sensitive personal and family matters. This individual will not only anticipate needs before they are expressed but will also proactively drive all aspects of the Principal’s daily life, including projects and critical initiatives. We are looking for someone with 5-8 years of experience – fairly seasoned, while still being hungry, ambitious, and eager to please, with impeccable work ethic and grit. This role demands exceptional flexibility, resilience, and adaptability to navigate a fast-paced, high-stakes environment.
Responsibilities of the EA/PA
- Expertly manage a complex and dynamic calendar across multiple time zones, including proactive scheduling, frequent rescheduling, and conflict resolution with minimal direction.
- Extensive Travel Coordination
- Plan and execute all aspects of domestic and international travel arrangements, including detailed itineraries, private and commercial air travel logistics, ground transportation, and other accommodations.
- Act as the primary gatekeeper and liaison by filtering, prioritizing, and responding to a high volume of internal and external communications (e.g., emails, calls, correspondence) with impeccable judgment and professional demeanor.
- Meeting & Project Support
- Prepare comprehensive meeting materials, conduct necessary research, compile agendas, and ensure the Principal is thoroughly briefed for all personal and professional engagements, including board involvement.
- Proactively manage and track various projects and deliverables, ensuring deadlines are met.
- Confidential & Personal Administration
- Handle highly sensitive and confidential information with the utmost discretion and integrity. Maintain the executive's office, manage files, process expenses, oversee insurance submissions, and organize tax files.
- Coordinate effectively with drivers and household staff.
- Responsive Availability
- Be prepared for calls or texts as early as 6/7 AM (without an in-office requirement then) and manage evening re-scheduling and preparation for the following day, demonstrating a truly 24/7 mindset.
Requirements of the EA/PA
- Experience
- 5-8 years of proven experience as an Executive or Personal Assistant in a fast-paced, high-stakes environment.
- Education
- Bachelor's degree preferred.
- Technical Proficiency
- Advanced proficiency in Google Suite (Docs, Sheets, Drive) and practical experience with various software tools (e.g., Adobe, WhatsApp, Apple products).
- Exceptional Organizational & Problem-Solving Skills
- Demonstrated ability to manage multiple complex priorities simultaneously with high attention to detail and accuracy.
- A self-starter who takes initiative and independently solves problems.
- Superior Communication & Interpersonal Skills
- Ability to articulate complex information clearly, concisely, and professionally, building rapport and trust at all levels.
