Adams & Martin Group has partnered with a respected law firm with a strong reputation in estate planning, trust administration, and probate. Their San Francisco office is seeking an Estate Planning Legal Secretary to join their Family Wealth Planning team. This is a full-time, on-site position. The Legal Secretary will provide advanced secretarial and administrative support to attorneys, paralegals, and clients, ensuring the efficient handling of estate planning and related matters.

Base pay range: $90.00/yr - $110,000.00/yr

Responsibilities

  • Prepare estate planning, trust administration/probate, and related legal documents with minimal supervision.
  • Draft legal correspondence to clients, courts, and regulatory agencies.
  • Maintain attorney calendars, deadline reminder systems, and travel arrangements.
  • Process incoming mail, enter attorney time, and prepare expense reports.
  • Organize and coordinate meetings and conferences.
  • Assume responsibility for special projects, including paralegal-level tasks.
  • Provide overflow and cross-department secretarial support.
  • Proofread documents for accuracy and ensure timely filings.
  • Maintain strict confidentiality with all firm and client matters.

Qualifications

  • Minimum 4 years of law firm secretarial experience (estate planning/tax experience preferred).
  • High school diploma or equivalent required.
  • Proficient in Microsoft Office Suite, eFiling, and DocuSign.
  • Strong organizational skills with the ability to meet deadlines.
  • Excellent written and verbal communication skills.
  • Detail-oriented, reliable, and proactive; able to work with minimal supervision.
  • Familiarity with probate courts, recorder, and assessor's office.
  • Ability to type at least 60 WPM and transcribe dictation.
  • Notary commission (or willingness to obtain).
