Adams & Martin Group has partnered with a respected law firm with a strong reputation in real estate transactions. Their San Francisco office is seeking a Real Estate Legal Secretary to join their team. This is a full-time position with an on-site schedule with the ability to work one day remote after 3 months. The Legal Secretary will provide advanced secretarial and administrative support to attorneys and clients, assisting with real estate deals, closings, and related transactional matters.

Base pay range

$90,000.00/yr - $110,000.00/yr

Responsibilities

  • Organize and assemble real estate deals, closing documents, and binders/eBinders.
  • Draft, edit, and proofread legal purchase and sale contracts, leases, sales documents, letters of intent, exhibits, and closing packages.
  • Prepare, index, and maintain legal documents, correspondence, and transactional agreements.
  • Maintain attorney calendars and travel arrangements.
  • Process incoming mail, enter attorney time, and prepare expense reports.
  • Organize and coordinate in-person and electronic meetings and conferences.
  • Provide administrative and overflow support to attorneys and secretarial colleagues.
  • Handle special projects while maintaining strict confidentiality.

Qualifications

  • 2-4 years of real estate legal secretarial experience in a law firm.
  • High school diploma or equivalent required.
  • Proficient in Microsoft Office Suite, eBinders, and related tools.
  • Excellent organizational skills and ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Ability to type 60 WPM and transcribe dictations and telephone messages.
  • Detail-oriented, reliable, and able to work independently with minimal supervision.
  • Strong judgment, discretion, and ability to maintain confidentiality.
  • Flexible with changing priorities and able to work overtime when required.
