Stoel Rives LLP has an immediate opening for a Litigation Practice Assistant in our Seattle office. This position provides legal and administrative support to attorneys in the Litigation practice group. This position reports to the Practice Assistant Supervisor.
Overview
Litigation Practice Assistant supporting attorneys in the Litigation practice group in the Seattle office.
Responsibilities
- Legal Document Preparation and Filing: Prepare template/shell pleadings and other legal documents; coordinate document production; revise, finalize, file and serve pleadings; and coordinate preparation of attorney and court working notebooks.
- Word Processing: Create and edit complex legal documents from transcription, handwritten drafts, or notes; apply track changes, formatting, and styles; proofread, format, edit, label and redact documents; transcribe messages; and use document comparison software for redlines.
- Timekeeping and Billing: Enter, proofread, and close time entries; manage prebills and client invoices; resolve billing questions with clients and accounting; and process expense reports and invoice disbursement requests.
- Client Service: Communicate with clients and outside counsel; obtain signatures on documents; coordinate client travel and meetings.
- Teamwork: Provide coverage for the practice assistant team as needed; coordinate projects with support departments; assist coworkers and timekeepers with technology or firm procedures; participate in team meetings.
- File and Document Management: Scan, copy, fax, print, organize documents; review conflict reports; open new clients/matters; maintain electronic and physical files; transmit documents securely.
- Other Administrative Support: Maintain calendars and deadlines; manage emails and lists; schedule meetings; track CLE credits; handle expense approvals; answer phones; arrange travel; maintain intranet pages; comply with firm policies.
- Other duties as assigned.
Essential Capabilities

- Work independently and in teams; maintain professional demeanor; be a proactive, resourceful problem-solver with strong organizational, grammar, and proofreading skills.
- Communicate clearly in verbal and written English.
Technical Knowledge
- Accurately type 50+ wpm
- Proficiency in Microsoft Office suite
- Experience with law firm software (experience with iManage, Adobe Acrobat, Emburse, Laurel, Aderant, Intapp, Rendezvous, Box, Litera Compare, Metadata Assistant, WestlawNext, WestCheck, InterAction is a plus)
Physical/Mental Capabilities
Operate a telephone, computer, and standard office equipment; read and comprehend notes; type for extended periods; proofread documents; deliver messages; and carry files for short distances.
Education & Experience
High school diploma or GED required. At least three years of experience providing legal administrative support, preferably in litigation. Certificate or degree in administrative assistant, legal assistant/secretary, paralegal program, or related field may substitute for one year of experience. Familiarity with local/state and federal court procedures and electronic filing preferred. Basic understanding of accounting preferred.
Normal Work Hours
This position is non-exempt and eligible for overtime. Regular hours are 8:30 a.m. to 5:00 p.m., Monday through Friday. Overtime may be required.
Compensation, Benefits, and More
The pay range for this position is $59,000 - $98,000; base pay may vary based on skills and experience.
