Scott County, VA Administration Office is seeking a Full Time Office Assistant. Salary Range is $38,000-$42,000 DOQ. Position is open until filled.

GENERAL DEFINITION OF WORK: Performs intermediate clerical work providing assistance to the public and receiving and routing the calls to proper person or agency; does related work as required. Will serve as the county’s ADA Compliance Officer. Work is performed under regular supervision of the County Administrator.

ESSENTIAL FUNCTIONS/TYPICAL TASKS: Answering multi-line telephone; routing calls; assisting the public; providing routine information; performing office assistance tasks.

  • Answers telephones and directs incoming calls to various staff, offices or agencies.
  • Updates the various signs in the office and board room.
  • Acts as receptionist, greets visitors and public and refers them to proper party or makes appointments.
  • Provides general information regarding agency activities and functions to the public.
  • Ensures office equipment is functioning properly.
  • Processes incoming and outgoing mail and parcels; delivers mail to post office daily or as needed.
  • Maintains reservation book for meeting spaces.
  • Assists with preparing large mailings.
  • Types routine forms, charts, memoranda and reports.
  • Does filing for Administrative Assistant and County Administrator.
  • Prepares and processes waste permits.
  • Updates the county website.
  • Prepares the hospitality cart for all BOS meetings (coffee, bottled water, candy dishes, etc.).
  • Performs various tasks in MUNIS including, but not limited to, scheduling pre-employment screens and background checks, processing of new employment on-boarding paperwork, preparing personnel files, setting up all new vendors, etc.
  • Inform department heads of open enrollments and schedule appointments as needed.
  • Maintain keys and check-in/out log for county car.
  • Decorate lobby area for holidays.
  • Keep inventory of first aid supplies.
  • Performs a variety of office assistance tasks when requested.
  • Prepares bills and posts payments for various County accounts.
  • Create deposits for various revenue sources and take to Treasurers office.
  • Performs tasks during an emergency declaration in the County.
  • Trained to process payroll and related reports for County and School System (enters paper timesheets for time and attendance).
  • Serves as the ADA Compliance Officer.
  • Performs related tasks as required.

KNOWLEDGE, SKILLS, AND ABILITIES: General knowledge of standard office and receptionist procedures and operation of complex phone system and base radio system; general knowledge of the functions and activities of the County, ability to speak clearly; ability to understand and follow written and oral directions; ability to operate standard office, word and data entry equipment; ability to establish and maintain effective working relationships with associates and the general public.

EDUCATION AND EXPERIENCE: Any combination of education and experience equivalent to graduation from high school and some office computer and word processing experience. Payroll experience will be given preference.

PHYSICAL REQUIREMENTS: This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects; work requires reaching, standing, fingering, grasping and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, operation of machines, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is not subject to adverse environmental conditions.

SPECIAL REQUIREMENTS: Possess a driver’s license valid in the Commonwealth of Virginia.
