The role of Office Coordinator is a hands-on position supporting the daily functions of the office, managing essential vendor relationships, and keeping things running efficiently for the whole team. If you’re detail-oriented, highly organized, and enjoy being the go-to person who makes things happen, this role is for you.
What You’ll Do
- Manage the Business Enablement department email inbox and route requests appropriately.
- Assign, track, and distribute approvals internally and externally for timely processing.
- Process invoices and prepare weekly check runs.
- Manage all incoming and outgoing mail, packages, and deliveries.
- Maintain and update vendor and contractor files, including W-9s and Certificates of Insurance (COIs).
- Respond to vendor and contractor inquiries in a professional and timely manner.
- Coordinate with external contractors and vendors on communication, documentation, and compliance.
- Process, reconcile, and allocate credit card statements.
- Oversee general office management functions, including filing systems, supply acquisition, and office technology.
- Serve as the point of contact for employees’ general office needs.
- Maintain a clean, organized, and functional office environment.
- Take on additional responsibilities as assigned.
What You’ll Bring
- Proven experience as an Office Coordinator, Office Administrator, or in a similar role.
- Strong organizational, time management, and multitasking skills.
- Excellent attention to detail with a high degree of accuracy.
- Ability to work independently and prioritize effectively.
- A solutions-oriented approach with clear and concise communication skills.
- Proficiency in Microsoft Office Suite, Adobe Acrobat, Google Workspace (G Suite), and QuickBooks.
- Familiarity with office management procedures and basic accounting principles.
- A proactive mindset — you look for ways to improve processes and boost efficiency.
