Chatham is hiring an efficient and independent Office Manager to ensure smooth office operations and provide administrative support in our Charlotte, NC location. This role is focused on creating an environment that supports the team and contributes to culture and efficiency.
In This Role You Will
As the Office Manager, you will help create an environment that inspires people to do their best work and feel supported. You will shape how our office runs, build relationships across teams, and directly impact our culture and efficiency. Administrative and office-related needs
- Welcome guests and ensure a positive experience for employees and visitors.
- Organize the Charlotte office space and serve as the primary point of contact for staff regarding office needs.
- Manage physical building needs, stock office supplies, and ensure equipment is functioning; streamline administrative processes.
- Coordinate with Spectrum (Charlotte building management) for deliveries and mail.
- Assist with badging and building security with Spectrum, Chatham Support, and Chatham Security teams.
- Assist with presentation needs (binding materials, hosting client guests, etc.).
- Manage kitchen inventory, supplies, and equipment maintenance.
- Vendor management (cleaners, shredding service, equipment, etc.).
- Manage expense reports and client reimbursables.
- Collaborate with various teams to support onboarding/offboarding for team members and set up workstations.
- Collaborate with the Travel team on policies, procedures, and tools related to travel and expense booking to assist employees in accurate travel arrangements.
- Work with IT Support to resolve simple IT issues, organize equipment, and supply items to employees.
- Plan and coordinate employee, community, client events, and activities to support team culture.
- Monitor milestones, dates, volunteer activities, and events to foster a welcoming environment and lead related social activities.
- Coordinate with the headquarters Experience Team on companywide initiatives/events.
- Help plan and coordinate activities supporting the 1% initiative for the local community.

- Minimum 5 years of office management or administrative support experience.

- Friendly disposition and willingness to travel to Chatham Financial headquarters in Kennett Square, PA.
- Must be able to lift up to 50 lbs.
