Overview

Our client is an active deep tech investor and is seeking an Office Manager to help with a special event they are hosting. This fall, they will host a biotech residency program running from October through November, bringing together leading entrepreneurs, scientists, and industry experts. The Office Manager will be the central point of coordination, overseeing the daily operations of the office during the residency and providing organizational support to both the investor team and program participants to ensure a professional, welcoming, and efficient environment.

Note: This is an on-site, 2-month contract role based in San Mateo, CA. Pay will be $28-$35/hr.

Base pay range

$28.00/hr - $35.00/hr

Key Responsibilities

  • Oversee daily office operations, including scheduling, facilities management, and vendor coordination.
  • Act as a primary point of contact for residency participants, staff, and external partners.
  • Coordinate logistics for events, meetings, and programming associated with the residency.
  • Manage office supplies, catering, and general workspace needs.
  • Handle building access, including key card distribution and management.
  • Prepare and set up welcome materials, nametags, and participant information packets.
  • Ensure smooth participant onboarding and provide day-to-day support throughout the residency.
  • Assist with administrative tasks such as calendar management and expense tracking.
  • Provide ad hoc support to the investment team and program leads as needed.

Qualifications

  • Previous experience as an Office Manager, Administrative Manager, or similar role.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to adapt in a fast-paced, dynamic environment.
  • Proficiency with Microsoft Office Suite, Google Workspace, and general office technologies.
  • Experience in a startup, biotech, or investment environment is a plus.
