As a Executive Assistant, you’ll play a pivotal role in managing complex priorities, coordinating global travel, and driving seamless operations across the business. You’ll collaborate closely with internal partners including Business Management, Finance, and Communications—while preparing executives for high-stakes meetings, market visits, and client engagements.
What You’ll Do
- Act as the primary point of contact for executives managing communications with clients, internal teams, and external stakeholders.
- Manage an extensive, dynamic calendar and anticipate scheduling needs to optimize leadership time.
- Coordinate international and domestic travel logistics, including complex itineraries.
- Partner with stakeholders to prepare client meetings end-to-end, from pre-read materials to follow-up actions.
- Draft and edit executive communications, meeting agendas, presentations, and summaries.
- Capture and synthesize key takeaways from senior meetings, ensuring alignment and accountability.
- Plan and oversee events, senior leadership meetings, and client visits with precision and professionalism.
- Provide site support, partner with colleagues for coverage, and maintain office continuity.
What We’re Looking For
- 7-10+ years’ experience supporting senior executives in large, global organizations.
- Proven ability to manage complex travel, events, and logistics at scale.
- Strong organizational, project management, and prioritization skills.
- Exceptional interpersonal and communication skills with client-facing experience in financial services.
- Proficiency in Microsoft Office Suite; ability to leverage collaboration tools (e.g., Teams, LLM platforms) for efficiency.
- Ability to operate with discretion, sound judgment, and personal leadership in dynamic environments.
Preferred Skills
- Strong knowledge of working in an institutional environment with the ability to navigate the firm effectively.
- Track record of leveraging technology to enhance workflows and drive efficiency.
