Postdoctoral Program Coordinator and Administrator role at nextSource. Our client seeks an organized, detail-oriented administrator to coordinate the university's postdoctoral program. Primary duties include monitoring inbox for appointments and learning the process of setting up the calendar. Position Summary
The Postdoctoral Program Coordinator and Administrator will handle day-to-day administrative operations for the universitys paid postdocs in the Division of Biology and Medicine and provide administrative support to the Associate Dean for Training and Program Development. Key Tasks
Administer processes that support the universitys paid BioMed postdoctoral appointment actions in a timely and organized manner, including reviewing departmental requests and Workday entries for post-doctoral searches, new appointments, reappointments, salary actions, changes in title or duration and terminations. Review all appointment information and requests for accuracy and completeness and note potential problems or discrepancies for discussion with the Associate Dean. Correspond with departments, route files appropriately for required approvals, and prepare appropriate letters for postdoctoral actions. Maintain and update postdoc files and databases to ensure accurate information is readily available to department staff and for reporting purposes (including records in personnel folders, Google Drive, FileMaker Pro and Interfolio). Support the Associate Dean with training program needs (Advance-K Mentored Career Development Program and Research Integrity Course) by scheduling Zoom meetings and in-person class sessions, managing associated Google shared drives, assisting with exchange of files between participants, reviewers, and steering committee members, and sending communications as needed (e.g. reminders, agendas, updates). Required Skills and Qualifications
Strong organizational, administrative, and time management skills. Strong quantitative skills with ability to perform intermediate-level calculations (e.g., salary adjustments, benefits calculations) accurately and efficiently. Intermediate proficiency in Microsoft Excel including advanced formulas to analyze and present data. Demonstrated proficiency with Google Suite (Sheets, Docs, Sites, Forms, Calendar, Gmail) and Microsoft Word, PowerPoint, Adobe Acrobat Pro. Experience with FileMaker Pro and Qualtrics survey software is a plus. Knowledge of Workday and Zoom videoconferencing functionality. Confident public relations and interpersonal skills. Competent oral and written communication skills and good command of English language and grammar. Experience working in a university setting is preferred. We offer competitive pay at $25.00/hour for this 23-month onsite contract role with potential for permanent placement.
