Description

The Director of Athletic Operations supports the daily operations of the Department of Athletics by coordinating administrative functions, managing logistical needs for athletic programs, and ensuring efficient execution of departmental activities. This position plays a key role in supporting coaches, student-athletes, athletic staff, key University campus partners to enhance the overall effectiveness and organization of Rivier University Athletics.

Duties and Responsibilities

Support the day-to-day operations of the Athletics Department and assist in the development of processes that enhance operational efficiency. Serve as an athletic department contact for University's internal constituents including facilities, technology, public safety, human resources and student experience. Serve as a key point of contact for various athletic systems and platforms including Spry, Team Up , RefQuest, NCAA Apps, Perfect Record, and TEAMs. Coordinate departmental logistics including facility scheduling, calendar oversight, transportation arrangements, game day operations including game day management Coordinate athletic facility rentals, including scheduling, communication, and logistical arrangements with internal and external groups. Serve as the primary liaison with university facilities, overseeing coordination and communication for all athletic facility needs and maintenance. Assist with the scheduling and organization of departmental meetings, team travel, educational programming, and staff appointments. Manage the coordination of athletic events and special functions, including awards ceremonies, by preparing materials such as certificates and recognitions. Assist with monitoring compliance and student-athlete eligibility by following all NCAA, Conference, and University regulations by managing and reviewing transfer tracer documents and end of semester grade reports. Assist with gathering data for yearly reports required per NCAA regulations Maintain accurate inventory of athletic equipment, uniforms, and supplies, and oversee distribution and return processes. Assist with managing the work study program for the Athletic Department with assigned staff members in the athletic department Organize transportation for all away contests and off-campus events, ensuring timely and cost-effective travel arrangements. Assist with on boarding and orientation for new athletics staff, including maintaining the department's on boarding handbook and updating policies and procedures. Represent the Athletics Department at select university and departmental events and assist in preparing formal correspondence and reports as needed. Assist with reporting to the Title IX Coordinator knowledge or receipt of reports of discrimination, sexual misconduct, gender-based violence, discriminatory harassment, and retaliation from students or other members of the University community; Demonstrating a commitment to equity and inclusion and ability to work collaboratively with other members of the Rivier Athletics Department and other university departments. Other Athletic Department duties as assigned. Position Type and Expected Hours of Work:

Full time, Monday - Friday; schedule will include evenings and weekends

Travel:

Minimal travel required for this position. In-state travel is minimal to complete necessary day-to-day tasks. Out-of-state travel may be required for educational conferences , University responsibilities, and accompanying athletic team travel.

Qualifications

Bachelor's Degree with previous work experience in a university setting as well as 1-3 years of relevant administrative experience preferred. Strong organizational and time management skills and attention to detail. Ability to work with electronic accounts payable system. Effective oral, written, and interpersonal communications skills. Knowledge of NCAA Division Ill Rules and Regulations a plus CPR training and first aid are required. Knowledge and Skills • Self-starter, ability to communicate effectively in written and oral form. • Strong interpersonal skills with ability to advocate for and support the academic, personal, and professional needs of the University. • Ability to collaborate with faculty, staff and students and maintain collegial relations. • Flexibility and adaptability in an emerging and changing environment. • Ability to maintain confidentiality and manage confidential information. • Computer skills and proficiency with a variety of computer applications including word-processing, reporting platforms, accounts payable and payroll systems as well as online calendaring and email (MS Word, Excel, PowerPoint, and Outlook).
