Job Description Summary
The Dental Clinic Office Coordinator has the responsibility for successfully operating the clinic office for both Dental Hygiene, Dental Assisting and for dental faculty.
Duties
1. Serves as office administrator for both the dental assisting and dental hygiene office:
A. Manages office phone and dental clinic e-mails.
B. Gives directions to clinic for patients and or visitors and greets patients who arrive for appointments.
C. Prepares and matrixes appointment books for both dental assisting and dental hygiene.
D. Schedules dental assisting clinic patient appointments and assist dental hygiene students with scheduling their
appointments, following the directives from both the Chair of the Dental Assisting and Dental Hygiene regarding
overwrites and edits to these appointments.
E. Corresponds with dental practices as they prescribe radiographs and follow up by sharing electronic dental records.
F. Schedules issues with IT for all clinic computers. Performs software updates in coordination with IT.
G. Performs bookkeeping and general office duties as assigned.
H. Procures petty cash from Business Office at the beginning of each clinic day and return monies taken in, as well as the
reconciled day sheet, at the end of each day.
I. Maintains audits and purges patient records/charts according to HIPAA compliance.
J. Assists students with front office duties as needed.
K. Coordinates with print shop and bookstore to create and distribute handbooks for both assisting and hygiene students.
L. Records and maintains electronic copy of all program meeting minutes (weekly) department (monthly) and advisory
committee meetings (yearly) and upload to Department Team Site on the Portal. Coordinates Advisory Committee
Meetings by securing location and assisting with agenda (set up / meals / break down).
M. Maintains and updates Dental Assisting and Dental Hygiene department web sites.
N. Assists and helps with pinning ceremonies for both programs.
O. Compiles accreditation self-study reports and organizes site visit details and submits annual accreditation surveys for both
programs.
P. Orders office, lab, and clinic supplies for both dental assisting and dental hygiene departments.
2. Oversees maintenance of sterilization equipment and scheduling of service maintenance for dental equipment.
3. Abides by policies, standards, goals and objectives of the College for both Dental Assisting and Dental Hygiene Departments.
4. Serves on department, division and college level committees. 5. Seeks opportunities for professional development through study, seminars, and/or on-the-job practice. 6. Serves as a resource to dental community and community at large and disseminates departmental information to prospective students. 7. Contributes to the College Vision, Mission, Values, and RISE statement. 8. Supports workforce diversity in all its aspects. 9. Performs other duties as assigned by Dean of Allied Health.
Minimum Requirements (Applicant must meet all of the minimum requirements)
1. Associate's degree (N 14) or Diploma (N 13) Related Degrees: Dental Hygiene, Dental Assisting, Business, Office Administration, or Healthcare Administration. 2. Three years of full-time or equivalent work experience as a clinical dental assistant, dental hygienist, or office manager/admin assistant in any industry.
Preferred Qualifications
1. Dental. medical, or healthcare office experience. 2. Eaglesoft dental software. 3. Inventory experience. 4. CPR certified 5. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.
