Klaviyo is seeking a pro-active, highly organized, collaborative, and resourceful Executive Business Partner (EBP) to provide business and administrative support to VPs across our Product and Design teams. The EBP will act as an extension of their leaders to maximize their efficiency and effectiveness by ensuring the organizations’ operational cadence is clear and taking ownership of managing-up and downstream to ensure deliverables are met timely and accurately. Responsibilities will include calendaring/scheduling, preparing agendas, travel arrangements, and managing special projects as needed - such as organizing employee meetings and events, recognition incentives, employee engagement initiatives, etc.
How You\'ll Make a Difference
Oversees scheduling and calendar management for assigned executives, including working with executives to prioritize their time and attendance. Manages the operational cadence of assigned organization, to ensure that all pre-planning, meeting scheduling, and follow-up action items and communication cascades are completed for major business initiatives throughout the year. Attends meetings, takes notes on action items, and follows up with content and deliverables as needed. Tracks and helps drive completion of key deliverables and follow up on outstanding items. Organizes, executes, and assists with team activities (staff meeting agendas, on-sites/off-sites, team social events, etc.). May facilitate and lead org-wide employee meetings. Organizes, prioritizes and appropriately handles time-sensitive, confidential information and ensures action required is addressed in a timely manner. Completes travel arrangements and expense reimbursement reports for the executives you support. Partners with other Executive Business Partners to ensure cross-functional alignment on projects, company milestones, and internal events. Takes initiative on researching, implementing, and improving systems and processes. Owns small projects as they come up. Who You Are
Experience managing executive level calendars, coordinating complex travel arrangements, and handling budgets and expenses. Excellent verbal and written communication skills, ability to influence, and able to communicate with all levels of the organization. Ability to exercise complete discretion and handle highly confidential information with 100% integrity. Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment. Exceptional organizational skills and attention to detail. Highly proactive in anticipating the needs of the people they support and in obtaining the information needed to successfully execute projects. Highly collaborative with a team-first mentality; experience partnering with key stakeholders on multiple projects. Strong relationship management skills, the ability to build a personal network throughout the company, and the ability to work with a variety of personalities. Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks "win-win" solutions. Experience with event logistics, especially in a project manager capacity. Highly adept in Google Suite, Slack, Zoom, and other communication technologies. Proactively seek and implement constructive feedback to level up skills and knowledge. Education and Experience
5+ years in an administrative support role of a VP level or higher. Experience working in fast-paced, hyper-growth, scaling high-tech companies. High school diploma or equivalent.
